What is a real estate assistant?

Real Estate Assistants are professionals who provide administrative and operational support to real estate agents, brokers, or agencies. Their duties often include managing paperwork, scheduling appointments, coordinating property showings, maintaining client databases, and assisting with marketing efforts. By handling these tasks, they help streamline the real estate process, allowing agents to focus more on client relationships and sales. Real Estate Assistants can work part-time or full-time, and their roles may vary depending on the size and needs of the real estate office.

What are the key skills and qualifications needed to thrive as a real estate assistant, and why are they important?

To thrive as a Real Estate Assistant, you need strong organizational, administrative, and customer service skills, often supported by a high school diploma or associate degree. Familiarity with real estate CRM software, MLS systems, and office productivity tools like Microsoft Office is typically required. Attention to detail, professionalism, and excellent communication help build trust with clients and support busy agents. These skills are crucial for maintaining smooth operations, ensuring accurate documentation, and enhancing client satisfaction in a fast-paced real estate environment.

What are some common challenges real estate assistants face during busy listing seasons, and how can they effectively manage their workload?

During peak listing seasons, Real Estate Assistants often juggle multiple tasks such as scheduling showings, managing paperwork, and communicating with clients and vendors. The fast pace can make it challenging to stay organized and meet tight deadlines. To manage these demands, many assistants rely on digital tools for task management, proactive communication, and setting clear priorities with their supervising agents. Building strong organizational habits and maintaining flexibility are key to thriving during these busy periods.

Job description

We are seeking an experienced Commercial Real Estate professional to join our team in a versatile role combining commercial real estate, property management, and administration.

The ideal candidate will be a licensed real estate professional with strong commercial and industrial real estate experience who is organized, dependable, detail-oriented, and comfortable handling a wide range of responsibilities. This position is ideal for someone who understands the day-to-day operations of commercial properties and can work independently while managing multiple priorities.

Key Responsibilities

Commercial Real Estate

  • Assist with commercial real estate sales, leasing, and transactions
  • Coordinate property showings and communicate with prospective tenants, buyers, owners, and vendors
  • Prepare and maintain leases, contracts, proposals, listings, and other real estate documentation
  • Support marketing and listing activities for commercial and industrial properties

Property Management

  • Oversee day-to-day management of commercial properties
  • Communicate with tenants regarding maintenance, leases, payments, and property-related matters
  • Coordinate maintenance, repairs, vendors, and service providers
  • Track lease expirations, renewals, notices, and other important dates
  • Conduct property inspections and assist with tenant turnover
  • Maintain organized property files and records
  • Help address tenant and property issues in a timely and professional manner

Administration & Accounting

  • Handle daily office administration and organizational tasks
  • Maintain calendars, files, records, and correspondence
  • Prepare invoices, statements, deposits, and other basic accounting documentation
  • Assist with accounts receivable, accounts payable, rent collection, and financial recordkeeping
  • Assist with monthly reporting and other financial administrative duties

We are looking for someone who is more than an administrative assistant. This person will be an integral part of the day-to-day operation of the company and should be comfortable moving between commercial real estate transactions, property management, office administration, and financial tasks.

The right candidate is someone who can see what needs to be done, take ownership of it, and follow it through without needing to be micromanaged.
