Accuracy is not a nice-to-have in equipment ordering. It is the job.
Behind every piece of equipment DataVizion delivers is a trail that has to be right: the quote, the order, the confirmation, the packing slip, the invoice. This role owns that trail. When it is accurate, client projects stay on schedule and nothing gets lost between the order and the doorstep. We are looking for a part-time specialist who takes that seriously and gets a little satisfaction from a perfectly reconciled order.
The Impact You'll Make:
DataVizion is hiring a part-time Equipment Ordering & Inventory Support Specialist to ensure our equipment ordering is accurate, on time, and fully accounted for, from the first approved quote through the moment the gear ships or lands on a shelf. You will support the inside sales and ordering team and own the details that keep client projects moving. When equipment is ordered correctly, tracked closely, and received accurately, projects stay on schedule, and clients get exactly what they were promised. That is your job, and the team will feel it when you do it well.
Key Responsibilities:
  • Turn approved quotes into clean, accurate equipment orders.
  • Place orders with distributors and vendors, confirming pricing, availability, and lead times before anything goes out.
  • Track every open order and reconcile vendor confirmations with the original quote, so surprises are caught early rather than at delivery.
  • Receive incoming shipments and verify what arrived against packing slips and purchase orders.
  • Maintain accurate inventory records for equipment in transit, in stock, or awaiting deployment.
  • Keep order documentation organized and audit-ready.
  • Partner with finance to match POs and resolve invoicing discrepancies as they arise.

  • You are reliable and organized, the person others trust to have it handled.

Requirements:
  • High school diploma or equivalent.
  • At least 1 year of experience in order processing, purchasing, inventory, data entry, or a similar administrative role, or an equivalent combination of education and experience.
  • Working proficiency with email, spreadsheets, and web-based ordering or inventory systems.
  • Proficiency with CRM tools and Microsoft Office Suite.
  • A passion for technology and the drive to continuously learn.
  • Consistent availability during standard business hours
  • Legally authorized to work in the United States.
