Job description

Facilities Coordinator
Salary Range: $49,679 - $72,034
The expected pay range is based on many factors, such as experience, education, and the market. The range is subject to change.

Employee Unit: Employees in this classification are represented by Service Employees International Union (SEIU) Local No. 521
GENERAL DESCRIPTION OF POSITION
The Facilities Coordinator will work closely with the Manager of Facilities to support all facilities-related activities and will be the first point of contact for internal and external customers seeking support and information from the Facilities department, including but not limited to building and equipment maintenance to ensure that the building and equipment are maintained in a clean, safe and orderly manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below.
  2. Perform daily maintenance inspections of the facility in its entirety to ensure that it is maintained in a clean, safe and orderly manner; respond to and ensure all building and offsite storage facilities and work area hazards are identified and corrected in a safe and timely manner.
  3. Monitor the IT ticket system to receive, respond and record building, equipment, and furniture-related requests in a safe and timely manner; develop ticket log to track the status of requests and maintain it on a daily basis.
  4. Work with the Manager of Facilities to prioritize tasks and/or scheduling conflicts in order to meet deadlines, including but not limited to HVAC, plumbing and electrical malfunctions/outages and physical equipment installations and relocations.
  5. Inventory and order janitorial, hardware and office supplies as needed.
  6. On a daily basis, deliver and pick-up USPS first class mail to and from designated locations; on a weekly basis or as required, prepare bins for drop off of time-sensitive bulk mail; receive and log deliveries in accordance with SCFHP's policy.
  7. Assist with the delivery, set-up and pick-up of equipment and supplies for community and marketing events as assigned.
  8. Perform daily safety inspections of the company van and arrange for maintenance and repairs as needed; maintain the company van in a clean and safe condition.
  9. Assist employees with the retrieval and delivery of onsite and offsite documents and ensure they are stored in a secured manner.
  10. Assist with new hire training by allowing them to shadow and observe.
  11. Serve as member of the Emergency Response Team; comply with applicable OSHA regulations and SCFHP security and safety policies and procedures.
  12. Develop and maintain positive working relationships with staff, vendors/contractors and members.
  13. Perform other related duties as required or assigned.

  2. Minimum one year of experience working in facilities. (R)
  3. Maintenance of a valid California driver's license and acceptable driving record or events; or ability to use other means of transportation. (R)
  4. Strong interpersonal skills and the ability to work in a team environment. (R)
  5. Proficient in adapting to changing situations and efficiently alternating focus between tasks to support Department operations as dictated by business needs. (R)
  6. Ability to work after hours, weekends and company holidays as needed to manage repairs and services. (R)
  7. Working knowledge of and the ability to efficiently operate all applicable computer software including computer applications, such as Outlook, Word and Excel. (D)
  8. Ability to use a keyboard with moderate speed and a high level of accuracy. (R)
  9. Excellent communication skills including the ability to express oneself clearly and concisely when providing service to SCFHP staff, contractors/vendors and members over the telephone, in person or in writing. (R)
  10. Ability to think and work effectively under pressure and accurately prioritize and complete tasks within established timeframes. (R)
  11. Ability to assume responsibility and exercise good judgment when making decisions within the scope of the position. (R)
  12. Ability to maintain confidentiality. (R)
  13. Ability to comply with all SCFHP policies and procedures. (R)
  14. Ability to perform the job safely with respect to others, to property, and to individual safety. (R)

WORKING CONDITIONS
Generally, duties are primarily performed in an office environment while sitting or standing at a desk. Incumbents are subject to frequent contact with and interruptions by co-workers, supervisors, and plan members or providers in person, by telephone, and by work-related electronic communications.
