Job description

Job Title: Senior Bookkeeper / Compliance Coordinator

About the Role
We're a lean core office supporting 100+ staff and contractors across ~30 states. We're bringing bookkeeping in-house after relying on an offshore team, and we need an experienced bookkeeper to handle day-to-day accounting accurately, keep our books clean, and run payroll and multi-state compliance.
Our CEO and our outside accountant direct the financial strategy and make the calls.
What we need from you is execution and judgment: do the work correctly, keep it organized, and know enough to recognize when something is off and escalate it promptly. You don't need to make the financial decisions - you need to know what you're doing and flag what matters.
What You'll Do
Day-to-day bookkeeping: AP, AR, general ledger, bank/credit card reconciliations, and support month-end close.
Books cleanup support: Work under the direction of our outside accountant to review the existing offshore-managed books, identify errors and gaps, and help bring everything to a clean, reliable state.
Invoicing & collections: Issue invoices, track aging, and run consistent collection follow-up.
Payroll: Run payroll through ADP for 100+ staff and contractors (in coordination with the office coordinator).
Multi-state compliance: Handle state registration and compliance across ~30 states - registering the company, setting up and maintaining access to state online portals, and tracking filing obligations.
Reporting & escalation: Prepare regular financial reports for leadership, and escalate issues to the CEO, [Your Title], and the accountant clearly and early.
Required Qualifications
3+ years of bookkeeping experience.
Strong accuracy and the judgment to recognize and escalate problems (vs. needing to be told what to look for).
Hands-on payroll experience, ideallyADP.
Proficiency with accounting software (QuickBooks or similar) and intermediate-or better Excel.
Clear written communication.
Preferred
Multi-state operations / state registration or compliance filing experience.
Experience supporting a workforce that includes 1099 contractors at scale.
Experience cleaning up or transitioning books.
Bookkeeping certification or relevant accounting coursework.
