Position Summary

Zachry Construction Corporation is seeking a Document Control Manager to oversee the management, organization, accuracy, quality, and integrity of project documentation throughout the lifecycle of major heavy civil construction projects. This position is responsible for establishing document control procedures, maintaining project filing systems, coordinating document distribution, and ensuring project records remain accurate, current, and readily accessible.


The Document Control Manager will oversee the project's Electronic Document Management System (EDMS), utilizing platforms such as ELOenterprise in conjunction with Microsoft SharePoint or similar document management software to streamline document management by assembling relevant project content, delivering information to the appropriate team members for efficient processing, and ensuring documentation is properly indexed for quick retrieval. This position works closely with project management, field personnel, consultants, subcontractors, owners, TxDOT, and other stakeholders to ensure project documentation flows efficiently while maintaining appropriate security and access controls.


What You'll Do

Pre-Project Responsibilities

  • Establish the project document filing system for both electronic and physical documents as required.
  • Create and maintain project record logs for drawings, RFIs, submittals, NCRs, and other project-specific documentation.
  • Configure document workflows, metadata, and user access within the project's EDMS.
  • Train project personnel on document control procedures and system use.


Project Execution

  • Coordinate all controlled documentation for the project.
  • Maintain complete, accurate, and up-to-date project documentation and records.
  • Maintain the latest approved drawings and specification files for project use.
  • Receive, log, track, and distribute all incoming project correspondence to the appropriate project team members.
  • Support documentation requests from project personnel, consultants, subcontractors, owners, TxDOT, and other stakeholders.
  • Monitor document workflows to ensure documentation moves efficiently between project team members.
  • Assist with internal and external audits by maintaining organized and compliant project records.
  • Establish project record retention guidelines in accordance with company and client requirements.
  • Ensure all project documentation is properly indexed with metadata for efficient retrieval throughout the design, construction, maintenance, and project archival phases.


Project Closeout

  • Coordinate final project documentation archiving and storage.
  • Establish final record retention, storage, and document disposition in accordance with project and Company Records Retention Policies.

What We're Looking For

  • High school diploma required; Associate's or Bachelor's degree in Business Administration, Construction Management, Engineering, Information Management, or a related field preferred.
  • Five (5) or more years of document control, records management, or project administration experience supporting construction, engineering, industrial, or heavy civil projects.
  • Experience supporting large transportation, highway, bridge, heavy civil, or infrastructure construction projects preferred.
  • Experience utilizing Electronic Document Management Systems (EDMS) such as ELOenterprise, SharePoint, Procore, Autodesk Construction Cloud, Aconex, or similar platforms.
  • Strong understanding of document control processes, version control, records retention, and quality management systems.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong communication and interpersonal skills with the ability to collaborate effectively across multidisciplinary project teams.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, and SharePoint.
  • Ability to prioritize multiple assignments while maintaining accuracy in a fast-paced construction environment.
