A QA/QC/Cx Administrative Assistant plays a critical role in supporting quality, commissioning, and project documentation. The expectations should be clear and focused on organization, accuracy, and timely communication.
QA/QC/Cx Administrative Assistant Expectations
Documentation & Records
  • Maintain organized and up-to-date QA/QC and commissioning documentation.
  • Upload, distribute, and track documents in project management systems (Procore, ACC, CX Alloy, etc.).
  • Maintain inspection reports, test records, turnover packages, punch lists, and commissioning documentation.
  • Ensure all documentation is complete, accurate, and properly filed.

Data Management
  • Track NCRs/CARs, deficiencies, inspections, and commissioning activities.
  • Maintain project logs and spreadsheets.
  • Update dashboards and status reports daily or as required.

Scheduling & Coordination
  • Coordinate inspections, testing, and commissioning activities with field teams.
  • Schedule meetings and distribute agendas and meeting minutes.
  • Assist with turnover package preparation and client deliverables.

Communication
  • Serve as a point of contact between QA/QC, commissioning, construction, subcontractors, and clients.
  • Respond to requests promptly and professionally.
  • Escalate missing documentation or schedule impacts to project leadership.

Administrative Duties
  • Maintain project filing systems.
  • Assist with onboarding documentation for QA/QC personnel.
  • Order office supplies and maintain project administrative resources as needed.
  • Support travel arrangements and scheduling when required.

Performance Expectations
  • Maintain a high level of accuracy with minimal errors.
  • Meet all deadlines for document submissions.
  • Be proactive in identifying missing information.
