Jewelry Cataloging & Quality Control Assistant


About Abbott & Oaks

Abbott & Oaks is a fast-growing vintage and antique jewelry company specializing in one-of-a-kind pieces with history, character, and exceptional craftsmanship. We are looking for a highly organized, detail-oriented Jewelry Cataloging & Operations Assistant to support our product cataloging, repair coordination, photography review, and day-to-day jewelry operations.


Ideal Candidate

You are meticulous, reliable, and naturally curious about jewelry. You enjoy organizing information, solving small operational problems, and making sure nothing falls through the cracks. You should be excited to learn, comfortable handling fine jewelry, and motivated by getting the details right. This is an exciting, hands-on new role with lots of room to grow at the company.


Responsibilities

  • Coordinate jewelry fixes, repairs, and restoration needs with the jeweler and cataloging teams.
  • Track ring resizing requests and ensure details are clearly communicated to jewelers.
  • Prepare pieces for jeweler review, photography, cataloging, and customer requests.
  • Help organize and prioritize items moving through the repair, resize, photography, and listing process.
  • Maintain accurate internal notes on product status, repair needs, sizing, and special considerations.
  • Review Shopify product listings for accuracy, consistency, and completeness.
  • Help confirm product details, including measurements, condition notes, materials, gemstone details, sizing, and other key attributes.
  • Flag missing or inconsistent product information before items go live.
  • Support ongoing cleanup and quality control of product listings.
  • Help prepare jewelry for photography and organize pieces before and after shoots.
  • Flag pieces that may need additional photos, re-shoots, cleaning, or styling adjustments.
  • Assist with organizing pieces that require GIA review, gemstone identification, or additional documentation.
  • Track GIA-related notes, certificates, or gemstone details.
  • Support the team in maintaining accurate records around stones, metals, hallmarks, and other product attributes.
  • Help answer customer questions related to product details, sizing, condition, measurements, materials, and availability.


Qualifications

  • Strong attention to detail and ability to spot inconsistencies.
  • Highly organized and comfortable managing many small details across multiple products.
  • Interest in vintage, antique, estate, or fine jewelry.
  • Comfortable working with digital systems such as Shopify, spreadsheets, or inventory tools.
  • Clear written communication skills.
  • Ability to work cross-functionally with jewelers, photographers, catalogers, marketing, and customer experience.
  • GIA coursework, jewelry experience, or gemology knowledge is a plus, but not required.
  • Experience with Shopify or ecommerce product cataloging is a plus, but not required.
