Job description

Job Title: Purchasing AdminJob Description
The Purchasing Coordinator provides administrative and operational support to the Purchasing department by assisting with purchase order processing, vendor communications, order tracking, inventory coordination, and purchasing documentation. This position plays a key role in ensuring materials and supplies are available to support production while maintaining accurate purchasing records and providing excellent internal customer service.
Responsibilities
  • Prepare and process purchase orders as directed by the Purchasing Agent.
  • Review purchase requisitions for completeness and accuracy.
  • Enter and maintain purchasing information within the ERP system (Syspro).
  • Track purchase orders from placement through delivery.
  • Communicate with suppliers regarding order acknowledgments, shipment status, and delivery updates.
  • Assist with obtaining pricing, lead times, and product availability.
  • Coordinate with vendors to resolve shipping discrepancies or backorders.
  • Monitor inventory levels and communicate potential shortages to the Purchasing Agent.
  • Assist in maintaining appropriate inventory levels to support production.
  • Coordinate material deliveries with warehouse and receiving personnel.
  • Maintain purchasing files, vendor records, and price lists.
  • Ensure purchasing documentation is complete and organized.
  • Assist with data entry and report preparation.
  • Work closely with Engineering, Production, Planning, Receiving, and Accounting to ensure timely procurement of materials.
  • Assist with special purchasing projects and continuous improvement initiatives.
  • Provide backup support for Purchasing activities during absences or periods of high workload.
Essential Skills
  • Proficiency in purchasing, procurement, and order entry.
  • Experience with ERP systems, particularly Syspro.
  • Strong Microsoft Office skills, especially Excel.
  • Excellent organizational and time management skills.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and accuracy.
Additional Skills & Qualifications
  • High school diploma or equivalent required; Associate degree preferred.
  • 1-3 years of purchasing, procurement, inventory, customer service, or administrative experience in a manufacturing environment preferred.
  • Experience in the manufacturing or semiconductor industry is a plus.
  • Understanding of purchasing and inventory processes.
  • Familiarity with supplier communication and purchase order management.
  • Ability to work independently while collaborating with multiple departments.
Work Environment
This role is based onsite with standard hours from 8 AM to 5 PM, offering some flexibility. The company is a manufacturing environment, requiring occasional visits to the warehouse area to confirm parts and inventory. The company is located in Portland, OR, and manufactures high-purity valves, regulators, and piping manifolds used in critical industries such as semiconductor manufacturing, clean energy, life sciences, and data centers. Pay and Benefits
