Haddad Plumbing and Heating Inc. is seeking a Purchasing Clerk to join our team at our headquarters in Newark, New Jersey. The Purchasing Clerk will support the Purchasing department by accurately entering and maintaining purchasing, inventory, and vendor data across Excel and internal systems. This role is responsible for processing purchase orders, tracking materials, maintaining organized records, and communicating with vendors and internal teams to support timely project execution. The ideal candidate will be detail-oriented, highly organized, and comfortable working with data and documentation in a fast-paced office environment. The Purchasing Clerk reports to the Purchasing Manager and plays a key role in ensuring purchasing accuracy and material availability for ongoing projects.
Responsibilities:
  • Accurately verify incoming and outgoing materials, ensuring all items match purchase orders and delivery documentation
  • Track and maintain inventory levels in accounting program, ensuring real-time accuracy of materials and supplies
  • Create, process and manage purchase orders (POs), including tracking status and ensuring timely delivery
  • Communicate with vendors to confirm pricing, availability and delivery timelines
  • Follow up on outstanding or delayed orders and resolve discrepancies with vendors or internal teams
  • Maintain organized records of purchase orders, invoices, packing slips and vendor communications
  • Assist with inventory counts, cycle counts and reconciliation of discrepancies
  • Generate and present reports on inventory levels, material usage, order status and variances
  • Support Project Managers and field teams by ensuring timely procurement of materials for jobs
  • Coordinate with Accounting to assist with invoice matching and purchase order verification
  • Identify and report low stock levels, overstock situations, or potential material shortages
  • Support continuous improvement of purchasing and inventory processes
  • Assist with various data entry and administrative tasks as needed
Required Education and Experience
  • High school diploma or equivalent
  • Proficiency in excel and MS word

Compensation
