About the Role

LIVIA Design Group is seeking a highly organized, detail-oriented Purchasing Coordinator to manage the purchasing and order process from quote through delivery.

This is a hands-on, fast-paced coordination role that works closely with our design team, clients, vendors, warehouse, and accounting functions. You will be responsible for obtaining vendor quotes, preparing estimates, processing and tracking orders, coordinating deliveries and installations, managing returns and product issues, and supporting accounts receivable and customer service.

The ideal candidate is an excellent communicator and problem solver who enjoys keeping multiple moving pieces organized and making sure nothing falls through the cracks.

What You'll Do

Purchasing & Order Management

  • Obtain vendor quotes and prepare accurate pricing and estimates for client product requests.

  • Manage approvals, place purchase orders, and track orders from purchase through delivery.

  • Communicate with vendors regarding pricing, availability, lead times, order status, and product issues.

  • Negotiate pricing and purchasing terms with vendors when appropriate.

  • Maintain accurate purchasing, order, and product records.

  • Proactively identify and resolve order discrepancies, delays, and other issues.

Delivery, Logistics & Returns

  • Coordinate product deliveries and installations with vendors, clients, installers, and the warehouse.

  • Monitor order timelines and keep internal teams and clients informed of relevant updates.

  • Coordinate warehouse-related activity associated with incoming and outgoing client products.

  • Manage product returns, exchanges, damages, claims, and other post-delivery issues.

  • Follow issues through resolution rather than simply passing them along.

Accounts Receivable & Reconciliation

  • Generate client invoices and support the Accounts Receivable process.

  • Process and record customer payments and reconcile accounts.

  • Follow up professionally and consistently on outstanding and overdue balances.

  • Coordinate collection activities as needed.

  • Monitor department credit card activity, reconcile transactions, and manage disputes.

Customer & Team Support

  • Provide responsive, professional customer service to clients throughout the purchasing and delivery process.

  • Build productive working relationships with vendors and internal team members.

  • Maintain organized digital and physical records and workspaces.

  • Assist with coordination of office/facility upkeep as needed.

  • Support the department manager with additional operational and administrative responsibilities as assigned.

What We're Looking For

Required

  • High school diploma or equivalent.

  • Strong organizational skills and exceptional attention to detail.

  • Ability to manage multiple orders, deadlines, and priorities at the same time.

  • Strong written and verbal communication skills.

  • Professional and confident communication with clients, vendors, and colleagues.

  • Strong follow-through and the ability to take ownership of issues through resolution.

  • Comfortable working with numbers, pricing, invoices, and detailed records.

  • Proficiency with Microsoft Office.

  • Ability to work on-site in Lakewood, NJ, with a 9:00 AM Eastern Time start.

Preferred

  • Previous experience in purchasing, procurement, order management, logistics, or a similar coordination role.

  • Administrative or office operations experience.

  • Experience with Accounts Receivable, invoicing, collections, or account reconciliation.

  • Experience with inventory or accounting software.

  • QuickBooks and/or Sage experience is a strong plus.

  • Experience coordinating vendors, deliveries, installations, or warehouse activity is a plus.

Compensation & Schedule
  • Annual base salary: $52,000–$72,800, based on experience.

  • Hourly equivalent: $25–$35 per hour.

  • Employment type: Full-time.

  • Schedule: Daytime schedule with a 9:00 AM ET start.
