Job Summary
We are seeking a highly organized and detail-oriented Purchasing Administrative Assistant to provide administrative support to our Purchasing team. This role is responsible for coordinating meetings, maintaining records, processing documentation, and supporting day-to-day purchasing activities. The ideal candidate is proactive, organized, and enjoys supporting others in a fast-paced environment.
Key Responsibilities
* Provide administrative support to the Purchasing team and management.
* Coordinate supplier and team meetings, including scheduling, logistics, visitor arrangements, and meeting materials.
* Prepare meeting agendas, take meeting minutes, and track action items.
* Create and process purchase orders and maintain related documentation.
* Support vendor onboarding by collecting and organizing required documentation.
* Maintain supplier records and purchasing data within company systems.
* Assist with invoice and purchase order issue resolution in partnership with Accounts Payable and Purchasing team members.
* Generate reports, spreadsheets, and other administrative documents as needed.
* Manage shared inboxes, calendars, and departmental communications.
* Support special projects and other administrative duties as assigned.
Required Qualifications
* Associate degree in Business Administration, Supply Chain, or a related field preferred.
* 2+ years of administrative experience in a professional office environment.
* Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
* Strong organizational skills and attention to detail.
* Excellent written and verbal communication skills.
* Ability to manage multiple priorities and meet deadlines.
* Ability to work effectively with internal teams and external suppliers.
* U.S. Citizenship required.
Preferred Qualifications
* Experience supporting Purchasing, Supply Chain, Operations, or Manufacturing teams.
* Experience with ERP systems such as SAP.
* Experience coordinating meetings, maintaining records, and preparing reports.
* Manufacturing, industrial, or automotive industry experience.
