Job description

The Purchasing & Receiving Clerk supports the Food & Beverage Department by assisting with purchasing, receiving, inventory, storeroom organization, and proper distribution of food, beverage, and operating supplies. This role ensures all items are received accurately, documented properly, stored safely, and issued to the appropriate departments in accordance with hotel standards, sanitation guidelines, and company procedures.
The ideal candidate is organized, detail-oriented, dependable, and able to work closely with vendors, culinary, finance, and department leaders to support daily hotel operations.
Essential Duties and Responsibilities
  • Receive, inspect, and verify all deliveries for accuracy, quality, quantity, and proper condition.
  • Compare delivered items against purchase orders, invoices, packing slips, and requisitions.
  • Report shortages, damaged items, incorrect deliveries, or quality concerns to the appropriate leader.
  • Ensure all received items are properly documented, logged, labeled, and stored.
  • Maintain cleanliness, organization, and proper rotation of storeroom items using FIFO standards.
  • Assist with issuing supplies, food, beverage, and operating items to departments as requested.
  • Monitor inventory levels and communicate low-stock items or supply concerns.
  • Assist with placing orders, tracking purchase requests, and following up with vendors as needed.
  • Maintain accurate records of deliveries, invoices, credits, returns, and inventory movement.
  • Support monthly or periodic inventory counts.
  • Ensure all food and beverage items are stored according to safety, sanitation, and temperature standards.
  • Work closely with the Food & Beverage team, Culinary team, Finance team, and department leaders to support operational needs.
  • Follow all hotel policies, purchasing procedures, safety standards, and loss prevention guidelines.
  • Maintain a professional and courteous relationship with vendors, team members, and leadership.
  • Perform other related duties as assigned.

Qualifications

Schedule Requirements
  • Must be available to work a flexible schedule based on hotel business needs.
  • Morning, weekend, holiday, or overtime availability may be required.
Work Environment
This position operates in a hotel environment and may include working in receiving areas, loading docks, storerooms, kitchens, coolers, freezers, and back-of-house areas. The role requires frequent interaction with vendors, Food & Beverage team members, Culinary team members, and hotel department leaders.
