Ovadia Interior Design and Architecture is a nationally recognized interior design and architecture studio in the heart of Manhattan, where modern elegance, warmth, and a sense of play come together in everything we create. We craft fully customized interiors for high-end homes, luxury apartments, and ambitious development and commercial projects, and we genuinely love both the work and the people we do it with.
We are looking for a Purchasing Coordinator to serve as a central figure in the purchasing process across the firm. This is a role for someone who thrives on organization, follow-through, and clear communication, and who takes real ownership of moving products, materials, and labor from order to delivery. You will be a key point of contact among our designers, vendors, contractors, and warehouse, making sure every detail is tracked, documented, and on schedule. A positive, can-do attitude and the confidence to follow up when professional assertiveness is needed will help you thrive here.
Position Overview
The Purchasing Coordinator (PC) manages the full purchasing lifecycle for approved furniture, materials, and labor. You will handle purchasing, procurement, expediting, documentation, and coordination, acting as the point person who keeps information flowing accurately among everyone involved. You will come to designer meetings prepared with accurate, up-to-date reports so the team can confirm that purchasing aligns with every other aspect of the project.
What You Will Be Doing
Purchasing and Procurement
  • Purchase all approved specified furniture, materials, and labor (sub-contractors).
  • Manage the full ordering process, from placing orders through follow-up and tracking, keeping Studio Designer updated at every step.
  • Adjust invoices as needed for shipping costs, resourced items, removals, and receiving or warehouse fees.
  • Update purchase orders and revise proposals per designer direction.

Vendor and Issue Management
  • Build and maintain strong relationships with vendors and manufacturers.
  • Follow up with vendors and contractors on lead times, pricing changes, and order status.
  • Manage and collect information on damages, claims, and repairs, seeing each through to resolution.

Deliveries and Scheduling
  • Check in deliveries received at our office.
  • Manage the delivery and installation schedule in partnership with the designer.
  • Schedule trades, deliveries, and installations with designer approval, and coordinate communication among all parties.
  • Consolidate many moving items into one clear, concise delivery schedule.

Reporting and Coordination
  • Meet with designers prepared with accurate, up-to-date reports.
  • Maintain organized documentation across purchasing deadlines, lead time changes, and pricing updates.
  • Serve as a reliable point of communication with vendors, contractors, and the warehouse.

Requirements
Required
  • Bachelor's degree
  • 3 to 5 years of experience in purchasing or procurement
  • Proficiency in Microsoft Office Suite
  • Excellent written and verbal communication
  • Strong organizational skills and a solid understanding of the purchasing process
  • Expertise organizing purchasing deadlines, lead time changes, pricing changes, and vendor and contractor follow-up
  • Proven ability to coordinate many items into a concise delivery schedule
  • Initiative, ownership, and a willingness to jump in and support the team
  • Comfort following up with vendors and contractors, including when professional assertiveness is required

  • Experience in the interior design industry
