Requirements:

Princeton Orthopaedic Associates, a division of OrthoNJ, a leading practice in musculoskeletal care with multiple locations, seeks a dedicated and highly organized Site Office Manager for our Hillsborough office location. This role is pivotal in fostering an efficient, collaborative, and positive work environment. The ideal candidate will possess strong leadership skills and a background in administrative management. The ideal candidate will partner closely with the Operations Team to fortify our team, driving operational excellence and contributing to our practice's growth. The Site Office Manager will ensure that all operations run smoothly, efficiently, and in alignment with company goals.


Key Responsibilities:

  • Be the primary liaison for the Practice Administrator and Physician Owner, ensuring streamlined communication and operations
  • Lead the onboarding and continuous training of staff, emphasizing performance excellence and professional development
  • Administer corporate policies and procedures

Duties:

  • Manage patient complaints and review quality assurance information relating to the practice and patient care issues
  • Oversees the daily workflow activities of the office, including staff performance
  • Responsible for ensuring high-quality patient service is provided
  • Oversees staff members, including staff coverage and time-off (Escalates employee relations and staff concerns to Manager/HR as needed)
  • Provides support when needed to assist staff with assigned administrative duties such as answering phones and preparing documents (Front Desk, Medical Assistants, PT Aide Support)
  • Ensures the office and all staff are complying with government regulations including HIPAA and OSHA
  • Maintains inventory of office, medical, and PT supplies; orders new supplies as needed
  • Facilitates maintenance of office equipment including cleaning, maintenance, and repairs (Escalates major maintenance requests and issues as necessary)
  • Assists with scheduling staff and ensuring proper staff coverage as needed
  • Oversee billing corrections process and delegate corrections to appropriate staff members as necessary in conjunction with the billing office
  • Performs other related duties as assigned

Required Skills/Abilities:

  • Knowledge of medical office best practices, including familiarity with HIPAA, OSHA, FMLA, and related regulations
  • Extensive knowledge of office management procedures
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Proficient with Microsoft Office Suite or related software
  • Working knowledge of medical EMR systems (SRS) is a plus

Experience / Qualifications:

  • At least three years of administrative and clerical experience in the medical field required
  • 3-5 years of direct supervisory experience required
  • 4-year or associate’s degree preferred

Compensation & Benefits:


OrthoNJ, LLC is required by New Jersey law to disclose the compensation range for this position. The hiring range for this role is $60,000-$70,000 annually. Compensation is determined based on several factors, including but not limited to the candidate’s qualifications, relevant experience, and geographic location. Certain roles may also be eligible for additional compensation, such as bonuses or incentive pay, as well as benefits. Eligible full-time employees are offered a comprehensive benefits package, which may include paid time off, medical, dental, vision, and a retirement plan.
