Job description

Owner Relations Specialist
The Dahill Group is thrilled to be working with our client, a well-established and highly regarded Texas based E&P company in search of an exceptional Owner Relations Specialist. This position serves as a primary point of contact for royalty owners, mineral owners, working interest owners, and other stakeholders regarding ownership, revenue, and account-related matters. This role is responsible for researching and resolving inquiries, maintaining accurate owner records, coordinating with Land, Division Orders, Accounting, and Legal, and ensuring timely, professional communication. Our client's office is located in Longview, Texas.
Essential Functions:
• Respond to owner inquiries by phone, email, and written correspondence regarding royalties, working interests, division orders, ownership changes, suspense, escheat, address changes, tax forms, and related account matters.
• Research and resolve owner issues using land records, division orders, title documents, revenue data, and internal systems while ensuring accurate and timely follow-up.
• Review deeds, probate filings, assignments, affidavits of heirship, trusts, and other curative documents to determine documentation needs and support ownership updates.
• Coordinate with Land, Division Orders, Accounting, Legal, and other internal departments to resolve complex ownership and payment issues.
• Maintain accurate owner master data, correspondence logs, and supporting documentation in company systems and workflow tools.
• Prepare and distribute owner-related forms and communications, including change-of-address forms, W-9 requests, division orders, and other required documentation.
• Mail out Division Orders or Transfer Orders as necessary and yearly escheated funds.
• Monitor and follow up on unresolved inquiries to ensure completion.
• Support unclaimed property and due diligence processes in accordance with company policy and applicable state requirements.
• Handle sensitive or escalated owner situations with professionalism, discretion, and sound problem-solving skills.
• Ensure compliance with company policies, confidentiality requirements, and applicable regulatory obligations.
• Other duties as assigned.
Required Skills and Experience:
• Minimum of 5 years of experience in owner relations, division orders, land administration, title analysis, revenue accounting support, or a closely related oil and gas function.
• Strong understanding of mineral, royalty, overriding royalty, and working interest ownership concepts.
• Experience reviewing and interpreting leases, deeds, probate documents, title opinions, assignments, and other ownership-related records.
• Knowledge of division order processes, ownership maintenance, owner payments, and suspense/escheat procedures.
• Excellent verbal and written communication skills with the ability to interact professionally with external owners and internal stakeholders.
• Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office, especially Excel, Outlook, and Word.
Preferred Skills and Experience:
• Experience with owner relations, land, or accounting systems such as Excalibur and Quorum.
Competencies:

Work Environment and Requirements for hybrid schedule:
This is a full-time position. A nine-eighty work schedule is available, with work hours Monday through Thursday, 7:00 am to 5:00 pm (with Friday off that week) and every other week is Monday thru Friday with Friday's work schedule, 8:00 am to 5:00 pm.
Hybrid schedule (for those within 40 miles of Longview) : Monday thru Wednesday in the office - Thursday and Friday remote
For those 40 miles outside of Longview, TX - hybrid schedule is 3 weeks remote - 1 week in office in Longview.
Compensation:
Base Salary: $85k-$90k - based on experience and background
Target Annual Target Cash Bonus Range: - ALL employees participate in an annual cash bonus - based on company and individual performance
Additional Benefits Include:
100% Employer paid Health insurance for employee, spouse and children.
401K employer matches the first 1% at 100% and the next 6% at 50%.
Pension eligibility after completion of 1st year of employment
