Job Title: Property Administrator

Job Description

The Property Administrator plays a crucial role in the Property Management Team, ensuring a high level of professionalism in addressing property issues and responding promptly to tenant requests. This position does not require travel and reports to the Assistant Property Manager or above.

Responsibilities

  • Provide comprehensive administrative support, including phone support, typing reports, filing, and distributing correspondence.
  • Schedule and coordinate meetings or special events as requested.
  • Assist with lease administration activities such as tenant contacts and insurance information, and generate relevant reports.
  • Prepare and coordinate bid proposals, service contracts, and approved invoices.
  • Support the bidding process and ensure compliance with company policies and procedures.
  • Prepare and code invoices for Property Manager's approval.
  • Ensure office is stocked with necessary supplies and items.
  • Manage contract and insurance information accurately within contract administration software.
  • Track and file contracts and certificates of insurance, maintaining a follow-up system for expirations.
  • Monitor and maintain the property maintenance work order system, preparing monthly reports for Property Manager.
  • Maintain the property purchase order system.
  • Maintain lease and contract files in the property management office.
  • Promote positive relationships with tenants and clients, tracking service calls as required.
  • Assist with monthly and quarterly management reports and annual budget preparation.
  • Process management and maintenance staff hours, tenant bill back invoices, accounting expense reports, monthly meter readings, and check requests for review and approval.

Work Environment

This role operates in a professional office environment located in Miami, Florida, at 9100 S Dadeland Blvd. The position requires working from Monday to Friday in-office, utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Employees are expected to remain in a stationary position for 85% of the time, communicate effectively, and operate office productivity machinery. Pay and Benefits

The pay range for this position is $28.00 - $28.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
