Job description

WELBRO has a full-time career opportunity for a Marketing Coordinator II or Proposal Specialist in our Maitland, Florida corporate office; construction industry experience with an AEC firm required. Experience proposing on projects in the education sector or public sector is ideal. With minimal oversight from the Marketing Director, the individual will take the lead on the preparation of proposals, brochures, qualification packages, presentations, development of external and internal communications, and other marketing services and materials that brand WELBRO. The individual will also monitor market trends, attend pre-qualification meetings, coordinate participation in industry events, and stay up-to-date with emerging technologies and marketing best practices.

Key Duties
  • Participates in the development of large-scale proposal and presentation materials and communications with minimal guidance from Marketing leadership within required timelines
  • Works directly with technical staff to prepare proposal materials, including writing, editing, verifying and formatting proposal information
  • Collaborates with technical staff and reviews their narrative for content clarity, compliance and key messages and suggests edits where necessary to ensure adherence to the RFQ
  • Ensures proposals and other marketing materials are accurate and well written
  • Coordinates and prepares for strategy meetings and sets timelines for content
  • Produces graphic design materials that effectively communicate WELBRO’s message
  • Organizes presentation rehearsals and supports technical staff throughout
  • Participates in the maintenance of marketing information, such as project experience sheets, resumes and credentials with closeout activities
  • Responsible for tracking progress of assigned opportunities, records requests, etc.
  • Attends pre-proposal, selection committee and/or debriefing meetings
  • Demonstrates exceptional attention to detail in ensuring a quality, compliant document by proofing/editing all aspects of submissions that meet RFQ/P requirements and WELBRO’s brand guidelines
  • Assists presentation teams in interview strategy meetings, providing constructive feedback to presenters on style and content
  • Captures client debrief feedback to ensure lessons learned are integrated into future submittals for Marketing success and our technical approach
  • Ensures high quality, efficiency, and adherence to brand guidelines and messaging across all marketing materials, signage and channels
  • Ensures consistent updates to company LinkedIn, Facebook, and Instagram social media accounts
  • Supports and promotes WELBRO’s visibility and participation in local industry events, career fairs, professional organization meetings, conferences and other engagement activities
  • Researches and evaluates industry-related trends to implement latest marketing techniques
  • Updates and maintains corporate website
  • Prepares and coordinates content for company newsletter
  • Assists Marketing Manager with training and mentorship of junior team members
  • Bachelor’s Degree in Marketing, Communications, or Business-related field
  • 2+ years of experience as a Marketing Coordinator or related role in the architecture, engineering, or construction industry
  • 1 year of experience pursuing work in the education or public sector
  • Proven track record of developing successful marketing presentations and campaigns.
  • Strong understanding of marketing principles, including market research, targeting, and positioning.
  • Excellent written and verbal communication skills, with the ability to create persuasive and engaging marketing content.
  • Strong word processing, graphic design, and desktop publishing skills
  • Medium to high proficiency in Microsoft Office applications (Word, PowerPoint) and Adobe applications (InDesign, Illustrator, Photoshop)
  • Exceptional organizational and project management skills, with the ability to manage multiple priorities and meet deadlines.
  • Creative mindset with a keen eye for design and attention to detail.
