POSITION OVERVIEW:

As a Business Development Coordinator at LJA Business Solutions, you will be responsible for providing administrative and logistical support for business development activities, ensuring efficient execution of client engagement efforts, opportunity tracking, and internal coordination.

Building market position by locating, developing, defining, negotiating, and closing business relationships. The goal is to drive sustainable financial growth through boosting sales and forging strong relationships with clients. Supporting all business lines including PLA, Land, Transportation and Water.

A TYPICAL DAY MIGHT INCLUDE:Market Research
  • Monitoring public sources (city agendas, procurement sites, announcements) to identify and logging potential opportunities
  • Maintaining tracking tools and distributing updates to BD team
  • Ensuring internal visibility of upcoming meetings, public engagements, and key milestones
  • Maintaining and updating CRM with accurate client, project, and contact data
  • Assisting with data entry for pursuits, relationships, and activities
  • Ensuring consistency and completeness of BD records
  • Coordinating logistics for client events, conferences, and industry activities
  • Preparing materials, promotional items, and on-site needs
  • Tracking attendance and follow-up action items
  • Processing invoices and expenses related to BD activities
  • Assisting with scheduling meetings, travel arrangements and coordinating internal calendars
  • Supporting internal BD meetings and reporting preparation
  • Scanning County and City agendas for LJA projects awarded then transferred to county/city spreadsheet. Making sure an LJA representative is in attendance when large projects are awarded
  • Researching and maintaining database of clients past, present and future projects (with LJA and others)
  • Creating or updating client contacts in CRM and mailing list for various events
  • Researching various meetings and agendas for data on current and future project awards or RFQs, and /or funding for future work
Coordination:
  • Paying invoices when needed and follow up with requester
  • Coordinating between marketing and BD on RFQ pursuits, awards, and go-no meetings
  • Coordinating and delivering holiday gifts
  • Assisting with coordinating client meetings
  • Coordinating w/ marketing on client lists for corporate events
  • Creating spreadsheet to track corporate memberships and identify LJA representatives and sponsorship levels
  • Table and registrations
  • Maintaining receipts for any expenses
  • Coordinating monthly LJA BD meetings and take minutes
  • Attending Bi-weekly Houston BD Staff meetings and managing spreadsheet of tasks and pursuits for staff
BD Events:
  • Taking lead with direction from BD staff. Helping to coordinate theme, graphics, invitations, track rsvps, food, drinks, and promo items
  • Coordinating and attending TML conference efforts and events. Coordinating booth, promo items, hotels, client dinners, and client entertainment event
  • Coordinating LJA staff registrations for conferences
    • Attend – When needed
    • Hotels – Book hotels as needed
    • Travel – Flights when needed
    • Booths – Register for booths when needed
    • Promos – Discuss and plan strategy for promo items needed for booth
    • Dinners – Plan employee or clients dinners needed during conference
  • Attending client events, sometimes alone – i.e., golf tournaments, fundraisers, booths, receptions, luncheons
  • Ensuring we have LJA cart, tent, promo items or any other marketing materials as needed for events
REQUIRED EDUCATION/LICENSE/CERTIFICATIONS:
  • BA or BS degree in business administration, sales or relevant field
REQUIRED QUALIFICATIONS:
  • Strong organizational and coordination skills
  • Attention to detail and accuracy in data management
  • Ability to manage multiple administrative priorities
  • Basic understanding of BD processes and workflows
  • 2+ years’ experience in business development and/or marketing
  • Attention to detail / consistent, ability to multi-task
  • Ability to interact with clients in a professional manor
  • Editing and writing experience, strong communication
