Project Coordinator

Location: Yonkers, NY

Employment Type: Direct Hire

Salary: $61,000–$80,000 annually, depending on experience

Schedule: Monday–Friday, 8:30 AM–5:30 PM


Position Summary

We are currently seeking a Project Coordinator in Yonkers, NY. This is a direct-hire opportunity supporting Project Managers and Deputy Project Managers with project coordination, documentation, scheduling, and administrative activities.

The Project Coordinator will work closely with internal departments, customers, vendors, and affiliated manufacturing operations to track project deliverables, maintain documentation, follow up on open items, and help ensure project requirements and schedules are met.


Key Responsibilities

  • Interface with affiliated manufacturing operations, customers, vendors, and internal departments to support project activities.
  • Maintain project documents and drawings in accordance with established document-control procedures.
  • Audit correspondence and drawing databases to ensure information is accurate, properly entered, and maintained.
  • Track and follow up on open action items between the company, customers, vendors, and internal departments through completion.
  • Attend project and design review meetings with customers and vendors as needed and prepare meeting minutes.
  • Support Project Schedulers by communicating with affiliated manufacturing operations regarding the status of the master project schedule.
  • Assist Deputy Project Managers with vendor coordination, including closure of open items, document submittals, and equipment/parts delivery schedules.
  • Prepare and edit project correspondence, letters, and drawing submittals prior to release to customers and vendors.
  • Maintain Contract Data Requirements Lists (CDRLs) and follow up on outstanding or pending items.
  • Prepare and track Engineering Changes, vendor chargebacks, Field Modification Instructions (FMIs), Requests for Clarification, customer invoice status, and related project documentation.
  • Track waiver requests, samples, project statistics, and other required deliverables.
  • Prepare monthly project progress reports for customers.
  • Coordinate customer badge requirements, safety training, and other required customer certifications.
  • Maintain accurate project records and provide status updates to Project Management.


Qualifications

  • Associate or Bachelor's degree preferred.
  • Previous experience in the railcar, transportation, manufacturing, engineering, or a closely related industry is preferred.
  • Strong organizational skills and excellent attention to detail.
  • Proactive with strong follow-up and problem-solving abilities.
  • Ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong computer skills, including Microsoft Office applications.
  • Experience with project coordination, project documentation, document control, or scheduling is preferred.
  • Mechanical, systems, and/or electrical design experience is a plus.
  • Ability to communicate effectively with customers, vendors, engineering teams, manufacturing operations, and project leadership.
