This is a general job description of a position at Integrity.
The following summary is intended to describe the general nature and level of work performed. The statements below are not intended to be construed as an exhaustive list of responsibilities, knowledge, skills, and abilities for this position.
SUMMARY:
The Project Manager is responsible for all maintenance tasks within their assigned accounts and is responsible to be onsite overseeing their primary account while work is being performed unless he/she is visiting his/her other assigned accounts. The Project Manager may supervise one large account, or a large geographically separated unit. The Project Manager interviews and hires the crew. The Project Manager is responsible for training and supervision. The Project Manager interfaces with the customer and tenants to ensure customer satisfaction with our work. The overall goal and first priority of The Project Manager is to become an important resource for the customer and the Company. He or she is to have the best interests of the customer in mind for all scheduling decisions. The final result required is a high-morale, people-oriented organization operating by the policies that meet or exceed customer expectations while achieving specific quality and profit objectives.
RESPONSIBILITIES:
  • Ensures that the work identified in the specifications is performed properly, on time, safely and within the budget

  • Schedules and coordinates custodial duties and current services

  • Prepares schedule and supervises work assignments for all personnel

  • Inspects work of subordinates

  • Uses computer products to track work

  • Conducts training for INC employees

  • Orders all cleaning supplies and equipment. Maintains security of all tools, equipment, and supplies

  • Administers the INC Safety Program at the accounts

  • Administers INC personnel policies in accordance with INC Human Resource Policy Manual.

  • Prepares required reports

  • Enforces the account dress code

  • Responds daily to requests from the customer

  • Completes all work in a professional manner commensurate with industry and safety standards

  • Any other duties as assigned

MAJOR GOALS:
  • To manage INC's Project effectively and to develop new goals and objectives within the realm of our business

  • To deliver the product or service to meet or exceed our customers' needs, expectations, and standards

SUBORDINATE GOALS AND KEY RESULTS:
1. To continue to improve customer relations, the Project Manager will be successful in this Key Results Area when:
  1. A contact schedule is established with major tenants/executives and the schedule is followed. (Applicable if tenant contact is encouraged)

  1. The customer is encouraged to contact him/her when issues arise

  1. Action items are acted upon, corrections/work checked, and action documented in the log and, when appropriate, verbally to the client contact

  1. Customer complaints and concerns are successfully resolved within the time period agreed upon

  1. The accounts are inspected prior to, during or subsequent to each client meeting

  1. All changes in account cleaning specifications or procedures are reduced to writing with copies to the Corporate Office and the client within three working days of the change

2. To develop Project Leads and those with the potential to become Project Leads, the Project Manager will be successful in this Key Results Area when:
  1. Cleaning specialists have been trained on their assigned duties.

  1. All current Project Leads have completed the INC Training Course

  1. All Project Leads attend site meetings.

  1. Potential Project Leads are identified and afforded the opportunity to complete the INC Training Course.

3. To maintain operational control of the accounts, The Project Manager will be successful in this Key Results Area when:
  1. The accounts file is established and maintained.

  1. The Account Operations Manual is up-to-date.

  1. Project Scheduling is established and maintained.

  1. Cleaning supplies are identified and established as authorized for each account.

  1. Inventory levels are established for each account and reorder procedures are established.

  1. Equipment and tools are accounted for and maintained in a clean and operational manner.

  1. Key control procedures as established and monitored.

  1. Job costs are analyzed and planning is implemented to continue to maintain costs at the budgeted level.

  1. Inspections and walk-throughs continue to ensure that tasks are being completed in a timely, workmanlike manner using Job Status Report.

4. To develop management skills through active participation in development opportunities, the Project Manager will be successful in the Key Results Area when:
a. He/she has completed the INC Supervisor course of study.
b. He/she has received the INC Supervisor Certification.
5. To improve employee job satisfaction, the Project Manager will be successful in this Key Results Area when:
  1. He/she properly ensures that each employee receives an accurate and timely error-free compensation on the scheduled pay date, i.e., no paper checks

  1. Absenteeism and turnover are minimal

  1. The Supervisor seeks out and compliments at least one employee for a job well done

6. To explore growth opportunities, the Supervisor will be successful in this Key Results Area when:
  1. Additional services (line item) or expansion of current services have been identified and suggested to the client

  1. During the year, new services has been added to the accounts

7. To create a safe workplace, the Project Manager will be successful in this Key Results Area when:
  1. All subordinate Supervisors actively support the safety program and enforce the provisions.

  1. Material Safety Data Sheets (MSDS) are on hand in each account and is current

  1. All employees receive the required training

  1. All employees use the required safety equipment

  1. Safety is a factor in considering equipment or chemical purchases

  1. Accidents are promptly reported and investigated in accordance with Project/District/Company policies

  1. Accident investigation reports include practical steps to prevent reoccurrence

8. To properly administer personnel policies, the incumbent will have been successful in the Key Results Area when:
  1. Employee grievances are at a minimum

  1. No complaints are filed with city, county, state or federal Equal Employment Opportunity Commission (EEOC) offices. (And, if complaints are filed, INC prevails in subsequent judgements)

  1. Discipline is timely, proper and documented in accordance with Company policy

  1. Interviewing and hiring is done on site

(1) I-9 forms are properly completed
(2) Police checks are properly conducted
(3) Hiring documents are completed and distributed to the Corporate Office on a timely basis
MINIMUM JOB REQUIREMENTS:
Education/Experience
College degree in Business Administration is highly desirable. 10 plus years' experience managing large janitorial and related employees in facilities between 1,000 - 50,000 square feet or more. Experience in recruiting, hiring, training, quality control management, customer relationship management, task scheduling and budget management. Proficient in MS Office programs, timekeeping software and use of other office equipment. Able to pass a State and Federal Government background check. Must have a valid driver's license and personal vehicle for transportation. Experience in working in an entrepreneurial and rapidly growing environment.
Software Skills
At a minimum, the Project Manager must be proficient in Microsoft Office Suite.

  1. To explore growth opportunities, the Project Manager will be successful in this Key Results Area when:

  1. Additional services (line item) or expansion of current services have been identified and suggested to the client

  1. During the year, new services have been added to the accounts.

  1. Identify the ITA revenue goal for the month and the amount achieved as of the reporting date. Confirm all work performed (a) has been recorded in the Master and Internal ITA tracking sheets and Work Completion Forms (WCF's) have been completed, signed, and saved in the appropriate folder. In each biweekly Labor, Revenue and COGS Meeting, PM shall identify the dates she/he met with designated Corporate POC between Biweekly LRC meetings to confirm accuracy of the ITA tracker.

  1. Participate in Operations Sales Program.

SECTION 2: KEY RESULT #2
#2 Financial Growth: Achieve our net profit projections within the calendar year
  1. Job costs are analyzed, and planning is implemented to continue to maintain costs at the budgeted level.

  1. Labor Management - (1) PM's daily track and (2) In each biweekly Labor, Revenue and COGS populate the Budgeted, Actual and Variance Dollar$/Hours (3) Report on any factors (i.e. individual employee schedule, changes in spaces, changes in SOW, etc.) that is causing man hour projections to be exceeded, identify resolution (corrective and preventive) and timeline (4) Report on all actions taken to reduce man hours, identify amount and projected timeline to achieve.

  1. Holiday Savings - (1) Identify the budgeted vs actual amount achieved as of the reporting date (2) Report on any factors (i.e. individual employee schedule, changes in spaces, changes in SOW, etc.) that is caused the Holiday Savings man hour projected savings not to be met, identify resolution (corrective and preventive) and timeline (3) Report on all actions taken to reduce man hours, identify amount and projected timeline to achieve.

  1. Use PO Tracker to Manage Supply Ordering & Costs - PMs populate as orders occur and report on overages and variances at each Labor, Revenue and COGS meeting. Identify discrepancies/variances, identify resolution (corrective and preventive) and timeline on (1) Discrepancies/variances between PO tracker & PL amounts and unit prices

  1. Labor Reduction Systems. Equipment and/or Procedures - PM's identify cost reduction opportunities. Identify technology, systems, equipment, etc. that will reduce labor and COGS without adversely impacting the customer experience rating. Identify implementation and completion timeline and report on results. every first meeting of the month and results from implementation every first meeting of the month.

SECTION 3: KEY RESULT #3
3. Customer Retention: Maintain 100% of the Clients We Want and are Eligible to Keep within your area of responsibility.
  1. The Project Manager is responsible for making in-person/verbal contact with a point of contact (manager or department head) on the frequency provided to solicit feedback and obtain a Very Good or Exceptional rating and record in the Customer Contact Tracker. 100% of facility inspected within a month by Project Manager, Supervisor, QC, Lead Person and/or Night Supervisor. The POC or tenant information must be collected and entered on the log (Name, telephone, and email) at first contact visit. Comment on corrective actions to be taken on ratings below "Very Good" ratings

  1. PMs are to capture all "critical" issues at their site that could potentially escalate beyond their leadership. This means in your daily management if you think an issue would result in the Customer would contact a corporate member (CEO, COO, DOO, HR) regarding Services, Employees, Safety, Accounting and Modifications, etc. log it in and briefly discuss during Bi-Weekly LRC so that action can be taken to avoid a CIP being issued and CEO (5) involvement

  1. Responds daily to customer requests. Customer complaints and concerns are successfully resolved within the time period agreed upon.
