The Role

You are the architect of our client's first impression. More than managing front-desk logistics, you set an atmosphere of white-glove hospitality, discretion, and warmth for high-net-worth families, business owners, and trusted partners. This role is a vital operational anchor with long-term opportunities to grow within our advisory practice.

Key Responsibilities

  • White-Glove Hospitality: Greet clients warmly, curate premium beverage service, and maintain an immaculate, welcoming executive reception environment.
  • First-Touch Communication: Manage incoming multi-line calls with poise and discretion, triaging inquiries directly to advisory and operations teams.
  • Meeting Experience: Prepare executive conference rooms for high-stakes client presentations (technology setup, printed materials, catering/refreshments), ensuring seamless transitions between appointments.
  • Operational Flow: Securely handle sensitive financial correspondence, manage executive mailings, oversee office inventory, and coordinate digital document intake.
  • Team Support: Partner with Wealth Advisors on administrative workflows and internal projects.

Qualifications & Profile

  • Experience: 2+ years of experience in high-touch customer service, executive administration, luxury hospitality, or professional services (wealth management, legal, or banking experience is a distinct advantage).
  • Poise & Communication: Articulate, professional verbal and written presence with high emotional intelligence.
  • Strict Discretion: Absolute commitment to maintaining client confidentiality and data security.
  • Tech Savvy: Proficient in Microsoft 365 (Outlook, Word, Excel) and comfortable adapting to modern CRM software.
  • Proactive Disposition: Highly organized, observant, and proactive in anticipating advisor and client needs before they are voiced.
