Job Overview

The Sales / Project Manager serves as both a project execution leader and a customer-facing sales professional. The primary role of this position is to facilitate projects from initial opportunity through completion—ensuring work is delivered on time, within budget, and in alignment with project requirements and customer expectations.

This role represents Rasmussen Mechanical Services as a trusted partner by combining strong project management discipline, technical understanding, and consultative sales skills. The Sales / Project Manager collaborates closely with field teams, internal departments, and customers to deliver high-quality results while supporting RMS growth objectives.


Scope
  • Represent Rasmussen Mechanical Services as the preferred mechanical service provider for customers, employees, and business partners.

  • Develop and maintain job cost accounting to support timely reviews of project effectiveness and profitability.

  • Ensure compliance with local, state, and federal legal requirements and maintain the highest level of business ethics.

  • Perform sales activities, including travel with occasional overnight stays.

  • Prepare estimates for equipment, materials, projects, and services and develop proposals for customer presentation.

  • Lead by example through compliance with RMS safety policies and ensure safety measures are included in project planning and proposals.

  • Challenge existing processes and contribute ideas for continuous improvement.

  • Coordinate and manage field crews to maximize productivity and minimize downtime on assigned projects.


Responsibilities

Project Management & Execution

  • Review and fully understand all aspects of assigned projects, including scope, estimates, manpower, materials, payment terms, and completion schedules.

  • Visit project sites and determine the most efficient and cost-effective execution approach within contract requirements.

  • Determine manpower and material requirements based on project complexity, technician capabilities, and committed timelines.

  • Schedule labor and materials to achieve orderly, efficient, and cost-effective project completion.

  • Assist with work layout, material planning, and requisition requests.

  • Ensure projects comply with quality, cost, safety, timeliness, and performance standards.

  • Conform project execution to applicable codes, regulations, and safety standards.

Customer Communication & Relationship Management

  • Maintain regular communication with customers throughout the project lifecycle.

  • Resolve customer concerns and complaints in a timely, efficient, and cost-effective manner.

  • Conduct post-project follow-ups to confirm satisfaction and completion of all sales agreements.

  • Build long-term customer relationships by identifying cost-effective and value-driven solutions.

Sales & Business Development

  • Develop proposals, often involving return-on-investment calculations, based on site reviews, drawings, specifications, and customer needs.

  • Identify and pursue opportunities for planned service agreements and additional RMS offerings.

  • Sell within a team environment across RMS locations and divisions, coordinating with internal staff.

  • Participate in team-selling initiatives and cross-division opportunities.

  • Support marketing efforts at trade shows, lunch-and-learns, and seminars.

Financial & Documentation Oversight

  • Maintain organized project document control (Job File), including:

    • Purchase requisitions and purchase orders

    • Subcontractor coordination

    • Change order documentation

    • Progress billings and payment requests

    • Invoice review and approval

    • Shop drawings and submittals

    • Schedule of values and job cost accounting

    • Project close-out documentation

  • Maintain accurate manpower forecasts to assist department managers with workload planning.

  • Ensure RMS financial standards are met, including profitability, productivity, payment schedules, and accurate invoicing.

Reporting & Systems

  • Maintain accurate and timely sales and project activity in CRM, Outlook, quote logs, and project management systems.

  • Record sales leads, contacts, referrals, follow-ups, future opportunities, and key customer information.

  • Communicate sales and project execution updates to department managers, operations, and administrative teams.

Professional Development & Collaboration

  • Maintain strong working relationships with operations and field personnel.

  • Follow up on leads from technicians, service coordinators, managers, and other RMS employees.

  • Maintain and improve sales skills, systems awareness, and industry knowledge through training and self-development.

  • Perform other duties as assigned by RMS Management Team.


Education / Qualifications
  • Bachelor’s degree in a technical field or equivalent professional experience required.

  • Professional and industry-specific certifications and licenses preferred.


Experience
  • Minimum of five (5) years of progressive experience in mechanical systems, construction, or related technical services.
