Position Summary:ย 

The Project Manager, Order Management - Commercial- Sales Operations Team is responsible for overseeing and executing a range of customer product order projects from inception through completion. This role requires a strategic thinker with strong project management skills, a passion for sales, and the ability to coordinate cross-functional teams to deliver exceptional results. The ideal candidate will excel in managing multiple complex projects simultaneously, ensuring alignment with company goals, and achieving key performance indicators.ย  Additionally, the role includes pre-sales coordination for capacity with Operations Teams for future orders. The position will collaborate cross functionally to evaluate product requirements, confirm production capacity, access compliance considerations and support decision making for large or strategic opportunities that are crucial to the company's long-term success.

Measures of Success:

  • Pre-Order Review Completion: % of eligible orders with completed pre-order reviews prior to CTP commitment
  • CTP Commitment Quality: % of orders with CTP dates validated with Operations before release
  • CTP Response Timeliness: Average time to provide validated CTP dates to Sales requests (e.g., within 2 business days).
  • Risk Escalation Timeliness: % of identified material, capacity, or compliance risks escalated within Sales level agreement
  • Project/Order Status Visibility: % of active projects/orders with status updates per reporting cadence

Responsibilities:ย 

Project Management Stakeholder Alignment

  • Collaborate with sales leadership, marketing, engineering, planning, and customer care to confirm project assumptions, validate feasibility, and ensure alignment with facility capacity and priorities.
  • Support project tracking, escalating risks or changes that may impact CTP (Capable to Promise) dates or customer commitments.
  • Prepare and deliver updates or presentations to stakeholders regarding project status, material risks, and compliance considerations.

Capable-to-Promise (CTP) & Delivery Management

  • Evaluate new project requests to determine realistic and achievable CTP dates based on material availability, capacity, production constraints, and current priority loads by communicating customer needs with operations teams and agreeing to deliverable schedules.
  • Communicate delivery commitments by coordinating planning, manufacturing, and supply chain teams to validate schedule impact and mitigate potential delays.

  • Monitor and manage priority conflicts, escalating and aligning decisions with leadership when customer commitments or production flow may be affected.

  • Review material availability and lead times for pre-sales and fast-track opportunities, ensuring early identification of constraints.

Product Evaluation & Compliance

  • Coordinate with product development, procurement, legal, and compliance teams to collect required documentation, clarify product details, and facilitate the Sales Operations BAA/BABA compliance team's assessment process.

Risk Identification & Mitigation

  • Analyze product and component specifications to understand customer requirements and identify compliant alternative options when necessary.
  • Identify risks related to material shortages, compliance gaps, or scheduling conflicts early in the project life cycle and support timely mitigation actions.
  • Participate in cross-functional teams to ensure effective communication, coordinated decision-making, and timely execution of complex project requirements.
  • Facilitate discussions to resolve conflicts in priority or resource allocation.
  • Provide basic compliance and process guidance to internal teams as needed.

Reporting & Analysis

  • Provide regular updates to senior management on CTP performance, key milestones, project risks, and compliance standings.
  • Conduct post-project evaluations to identify improvement opportunities in CTP accuracy, compliance processes, and material planning.

Process & Continuous Improvement

  • Identify opportunities to improve CTP accuracy, quoting efficiency, compliance verification, and cross-functional workflows.
  • Recommend and implement process enhancements to increase predictability, reduce delays, and improve customer delivery performance.

Qualifications:

  • Bachelor's degree in Business, Engineering, Supply Chain, Marketing, or a related field of study; Master of Business Administration degree or relevant advanced degree is a plus.
  • 5+ years of experience in project management, preferably managing sales or related projects; experience in manufacturing engineering, or working with government contracts and regulations (e.g., Buy America Act, Federal Acquisition Regulation) is a plus; 8-10 years of HVAC-related product application, engineering, or sales engineering experience preferred.
  • Experience working in a sales or similar customer-interfacing role preferred.
  • Experience in reviewing and managing compliance documentation, including bill of materials and contract filings.
  • Proficiency in Microsoft Office suite of products, project management and CRM software systems.
  • Strong project management experience required, with a proven ability to manage and execute projects efficiently.
  • Proven track record in coordinating cross-functional teams to achieve project objectives and deliverables.
  • Strong understanding of sales processes, project management methodologies, and industry best practices.
  • Strong technical knowledge to understand complex products and manufacturing processes.
  • Proficiency in Microsoft Office suite of products, project management and CRM software systems.
  • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Exceptional communication and interpersonal skills, with the ability to build rapport with clients and team members.
  • 20% travel to conferences, trade shows, off-site training, etc.

Work Environment:

This position works primarily in an office environment using computers and technology.ย  Verbal and auditory capability are required.ย  Occasional exposure in production plant where large equipment and noise are prevalent.ย  Safety gear is required in these areas.
