Job description

Responsibilities & Expectations:

As a Project Manager Assistant Level 4, you will play a critical role in supporting high-complexity projects managed by Project Managers Level 4. This includes administrative support, project coordination, estimating assistance, and mentoring junior PMAs. Your ability to handle complex tasks, work independently, and contribute to project planning and execution is essential. Positioned for advancement to Project Manager Level 1, this role requires exceptional organizational, communication, and leadership skills.

Key Responsibilities:

  1. Administrative Support
  • Schedule and manage project meetings, appointments, and key milestones.
  • Prepare, distribute, and maintain complex project documentation.
  • Maintain organized project files and databases, ensuring accurate and up-to-date information.
  • Manage project-related communications, including emails, phone calls, and inquiries.
  1. Project Coordination
  • Collaborate with PMs to develop comprehensive project plans, timelines, and budgets.
  • Support the estimating process by gathering data, performing takeoffs, and inputting information into the quote system.
  • Oversee designated project tasks, ensuring timely completion and adherence to budget constraints.
  • Coordinate project logistics, such as equipment reservations and team assignments.
  • Serve as a liaison between project team members to ensure alignment on goals and priorities.
  • Prepare materials and presentations for project meetings and performance reviews.
  1. Documentation and Reporting
  • Maintain and organize all project documentation, including schedules, logs, and progress reports.
  • Generate detailed reports on project status and metrics for stakeholders.
  • Assist in analyzing data to identify project trends and recommend improvements.
  • Ensure adherence to project management standards and methodologies.
  1. Leadership and Mentorship
  • Mentor and develop L1, L2 & L3 PMAs, providing guidance and fostering skill development.
  • Act as a resource for troubleshooting and problem-solving within the project team.
  1. Risk Management
  • Identify project risks and work with PMs to implement effective mitigation strategies.
  1. Additional Duties:
  • Flexibility to perform other assigned tasks to support the overall business objectives, while proactively seeking opportunities for continuous learning and professional development.

Qualifications and Competencies:

  • 5+ years of experience in project coordination or as a Project Manager Assistant, with proven ability to manage complex tasks and support high-complexity projects.
  • Proficiency in project management software and the Microsoft Office suite.
  • Strong analytical and problem-solving skills, with the ability to identify trends and recommend improvements.
  • Advanced organizational skills and keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to effectively mentor and support junior team members.
  • Demonstrated ability to multitask and prioritize tasks in a dynamic and fast-paced environment.
  • Ability to foster teamwork and maintain alignment on project goals and objectives.

Preferred Qualifications:

  • Bachelor's degree in business administration, project management, or a related field is preferred.
  • Experience in project estimating and familiarity with quoting and takeoff processes is highly desirable.
  • Experience working on projects that involve cross-functional teams.
  • Familiarity with the use of specialized project management or estimating software.

Pay Rate Details:up to $43.50/hour depending on skills and experience
