Job description

Position Summary

The Interior Design Coordinator – CAD & Procurement supports interior design projects across a multifamily residential portfolio by producing construction documents, managing FF&E procurement, and coordinating installations from design approval through final placement. Projects may include renovations to leasing offices, model units, clubhouses, and other amenity and community spaces. The position requires advanced technical skills in CAD and construction documentation, strong procurement and vendor management ability, and the capacity to manage competing priorities in a fast-paced environment. Working closely with the VP of Design, the Project Interior Designer, and the Design & Construction team, the Interior Design Coordinator produces accurate construction documents and finish specifications, manages procurement from order through delivery, and coordinates on-site installations. A successful Interior Design Coordinator demonstrates integrity, accountability, and professionalism while collaborating with teammates, contractors, vendors, and internal stakeholders. This individual takes pride in delivering quality work, embraces continuous improvement, and provides a high level of service in support of company goals and project success.

Primary Responsibilities
  • Coordinate complete, accurate CAD construction documents, finish index specs, and detailed scopes of work
  • Identify and communicate deviations in project scope, budget, or specifications, and work with the design team to resolve
  • Manage FF&E procurement, including vendor sourcing, purchase order management, inventory tracking, delivery, and installation
  • Source product through contract and hospitality trade accounts and dealer networks; negotiate pricing and maintain active vendor accounts
  • Produce accurate as-built floor plans and construction documents from field measurements and site conditions
  • Prepare CAD and SketchUp drawings and specification packages to support design proposals
  • Track procurement costs and purchase orders against approved project budgets
  • Support project close-out activities including punch list review, final walkthroughs, installation coordination, and final project documentation
  • Coordinate delivery and installation logistics on-site, ensuring materials and FF&E arrive on schedule and are placed according to design intent
  • Maintain organized project records and documentation, ensuring project decisions, approvals, and key details are appropriately documented and communicated
  • Work closely with the Project Interior Designer, Construction Project Manager, contractors, vendors, and property leadership to maintain project alignment and support successful execution throughout all phases of a project
  • Actively participate in a positive team environment through teamwork, communication, and excellence in service
  • Actively demonstrate the values of the Weidner Customer Service Vision to team members, associates, and external customers
Qualifications
  • Ideally 2 - 5 years of commercial interior design, CAD, or procurement experience, with demonstrated experience 
  • Bachelor’s degree in Interior Design or a related field preferred
  • Advanced AutoCAD knowledge required
  • Bluebeam Revu proficiency for construction document markup, RFI management, and drawing set review
  • Strong knowledge of interiors and design concepts, practices, and methods
  • Working knowledge of building codes, ADA requirements, and life-safety standards
  • High level of experience in FF&E selection and procurement
  • Installation coordination experience, including delivery, staging, and final placement on-site
  • Experienced in Microsoft Excel for budget tracking, order management, and contractor scheduling; proficiency in Office Suite, SketchUp, and Adobe Suite preferred
  • Skilled in assisting with RFIs and change orders during active construction phases
  • Demonstrated ability to manage multiple concurrent projects while maintaining accuracy and meeting deadlines
  • Strong written and verbal communication skills
  • Excellent organizational skills
  • Strong ability to collaborate with a diverse project team
  • Comfortable receiving and incorporating feedback
