SUMMARY:

Donovan-Hill Group, Inc. is looking for a Marketing Proposal Coordinator in our Pensacola, FL office, who can take ownership of proposals and help move pursuits from start to finish. This role is a key part of our business development effort and works directly with project managers and technical staff across the firm.


This position will be responsible for preparing SF330 packages and responding to RFQs for local, state, and federal clients. This is a hands-on role that requires strong writing skills, attention to detail, and the ability to stay organized while managing multiple deadlines.


ESSENTIAL JOB RESPONSIBILITIES:

  • Works with the Director of Marketing and department staff on the development of proposals, statements of qualifications (SOQ), and pre-qualification submissions in compliance with RFQ requirements, writing proposal content, proofreading, and formatting, and managing the entire submittal from beginning to submission.
  • Research websites, databases, newspapers, magazines, and other business publications in search of project opportunities for professional services.
  • Analyzes solicitation requirements and assists in the preparation of a proposal plan to include proposal components (graphics, resumes, narrative, etc.), outlines, tasks, schedules, and responsibilities.
  • Works with Director to oversee the proposal process โ€“ review outlines, assist the team in resume and project selection, and quality review for formatting and content.
  • Manages multiple proposals and qualifications submissions simultaneously effectively and efficiently under tight deadlines to produce high-quality materials.
  • Understands how to manage time appropriately.
  • Works with internal project managers, technical staff, and marketing staff across the firm to manage/update existing and create new content for marketing initiatives and proposal submissions, including but not limited to resumes, project profiles, project templates, technical proposal content and imagery to be used for external purposes.
  • Coordinates and maintains marketing files including certifications, pre-qualifications, correspondence, data, and other relevant materials. Reviews project information for accuracy.
  • Accomplishes organizational goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Provides marketing essential functions and responsibilities, as required.
  • Support business development efforts of senior staff by conducting research for conferences and networking events.
  • Administrative duties such as filing and data input.
Requirements:

EDUCATION & EXPERIENCE:

  • Bachelorโ€™s degree in marketing, communications, business, or related field preferred.
  • 3+ years of experience in marketing or proposal coordination or similar.
  • Previous experience working with an A/E firm or related industry is a plus.

KNOWLEDGE/SKILLS/ABILITIES:

  • Excellent writing, proofreading, communication, and organization skills.
  • Experience developing statements of qualifications, proposals, presentations, and other marketing materials.
  • Highly organized, creative, and detail oriented.
  • Excellent time management skills and ability to multi-task and work under tight deadlines.
  • Ability to multi-task and is comfortable working in a deadline-driven environment.
  • Knowledge of the engineering industry is a plus.
  • Ability to work independently as well as in a team.
  • Proficiency with Microsoft Office and Adobe Creative Suites.
  • Previous experience working with an A/E firm or related industry is a plus.
  • Maintain confidentiality of sensitive information.


COMPENSATION:

  • $55,000 to $60,000 annually, depending on experience.
