Fall 2026 Internship:ย This position is located at our Frisco, TX site.ย  Expected program dates are September 14 - December 4, 2026. Anticipated working hours will be 20-30 per week. Final hours and schedule will be determined between the intern and their manager.ย ย

Introduction:ย 

The Project Management & AI Automation Intern supports the Customer Success team as an internal project coordinator. Working primarily with the Director of Customer Success, this role maintains visibility across customer projects, deployments, engineering tasks, risks, milestones, deadlines, and follow-up actions in Smartsheet, Jira, Confluence, and related systems. The intern partners with Customer Success Managers, Operations, Engineering, Product, DevOps, SRE, and other teams to keep information current, identify overdue or blocked work, and support timely execution of customer commitments. The role also uses AI and automation tools to streamline tracking, reporting, documentation, meeting follow-ups, and leadership dashboards.

Required Skills

  • Strong organization, project coordination, prioritization, and time-management skills.
  • Ability to track multiple projects, deadlines, risks, dependencies, and action items simultaneously.
  • Strong written and verbal communication skills, with confidence following up across teams.
  • High attention to detail, ownership, and the ability to escalate issues appropriately.
  • Comfort working with dashboards, spreadsheets, operational data, and recurring leadership reports.
  • Practical familiarity with generative AI tools and an interest in applying AI responsibly to business workflows.
  • Ability to work independently in a fast-paced, cross-functional environment.
  • Fluent English speaking and writing skills.

Preferred Experience

  • Smartsheet, Jira, Confluence, Microsoft Excel, Power BI, or comparable tools.
  • AI-assisted workflows, reporting automation, dashboards, or process-improvement projects.
  • APIs, SQL, Python and automation tools.
  • Agile practices, PMO operations, Customer Success, SaaS operations, or technology delivery.
  • Preparing status reports, presentations, or meeting materials for management.

Responsibilities:ย 

  • Review and maintain open customer projects, Jira tasks and defects, action items, risks, dependencies, milestones, owners, deadlines, and next steps in Smartsheet and related systems.
  • Follow up with Customer Success Managers, Operations, Engineering, Product, DevOps, SRE, and other owners to obtain updates and drive timely completion of commitments.
  • Identify overdue, blocked, missing, or at-risk items; validate the facts; and escalate them to the appropriate owner or leader.
  • Support the Director of Customer Success with day-to-day operational coordination, prioritization, recurring reviews, meeting preparation, and ad hoc reporting.
  • Maintain dashboards and prepare weekly and monthly leadership reporting covering customer status and health, project progress, deployments, engineering activity, open work, risks, SLA performance, and team workload.
  • Coordinate and track customer pilots, deployments, production releases, hotfixes, upgrades, and rollout activities in partnership with the responsible delivery and operations teams.
  • Prepare meeting agendas, capture decisions and action items, distribute clear summaries, and maintain follow-up through completion.
  • Maintain Confluence documentation, standard operating procedures, project records, operational playbooks, and reusable reporting templates.
  • Use AI and automation tools to consolidate data, summarize project activity, flag overdue work or emerging risks, generate status reports, and reduce repetitive administrative effort.
  • Build, test, document, and maintain lightweight automations and workflows with appropriate human review, data-quality checks, and security controls.
  • Analyze project and operational trends to identify gaps in ownership, communication, data quality, or execution and recommend process improvements.
  • Provide secondary project-coordination and reporting support to the Operations Manager when assigned, while maintaining Customer Success as the primary focus.
