Role & Responsibilities


We are currently seeking a detailoriented and proactive Project Management Assistant to join our dynamic team at EMSTech. In this role, you will support project managers in delivering complex, global engineering projects by ensuring tasks, documentation, and communications are organized and executed with accuracy and professionalism.

As a key contributor to our project delivery process, you will take on a variety of responsibilities that offer both challenge and opportunity. Your strong organizational skills and commitment to quality will help keep projects on track, support effective team collaboration, and contribute to the successful execution of our worldclass engineering solutions.

Here are some of the things you'll be working on:


Key Responsibilities

  • Support and report to Project Managers on assigned projects, dedicating approximately 75% of your time to one major longterm project.
  • Prepare and maintain project spreadsheets, reports, correspondence, and monthly management updates for the VP Projects using Microsoft Office applications.
  • Assist in managing project schedules, tasks, and deliverables as assigned by Project Managers and the VP Projects.
  • Participate in project closeout activities and maintain accurate closeout documentation.
  • Attend internal and external project meetings, take detailed notes, and prepare meeting summaries and action registers.
  • Follow up on action items to ensure timely completion and keep project teams aligned and accountable.
  • Collaborate with Quality, Engineering, and QMS teams to support realtime Lessons Learned reporting for ongoing projects.
  • Perform additional duties as assigned by the Supervisor or VP Projects

Communication & Collaboration

  • Work closely with crossfunctional team members to support smooth project execution.
  • Communicate clearly and professionally with suppliers, customers, and internal design teams in both written and verbal formats.
  • Produce wellwritten correspondence and assist with editing technical reports.
  • Demonstrate strong proficiency with MS Office Suite (Word, Excel, PowerPoint, Project) and other software as needed.
  • Maintain strict confidentiality and adhere to EMSTech's intellectual property and information security policies.


Qualifications

  • Post Secondary Education in Office Administration/Project Management or equivalent.
  • Strong communication skills and ability to collaborate with team member.
  • MS Office Suite (Word, Excel) - Intermediate level of proficiency.
  • Attention to detail.
