Project Document Coordinator – Streamline Commercial Mechanical & HVAC Operations with Mechanical Contractor 


Job Overview:

The Opportunity:

Are you an organized professional who thrives in a fast-paced environment? As our Project Document Coordinator, you will be the administrative backbone of our project management team, keeping critical project submittals, RFIs, and change orders flowing seamlessly.


You will join an established mechanical contractor that values quality people, collaboration, and long-term career growth. This role offers the opportunity to support a busy project management team while contributing to the successful delivery of complex construction projects. 


How You Will Make an Impact:

  • Submittal Management: Coordinate submittal workflows between Vendors, General Contractors, and internal reviewers. Routinely follow up on overdue submittals to keep project timelines on track.
  • Information Processing: Accurately process Requests for Information (RFIs) from Project Managers and manage Change Orders sent to General Contractors.
  • Closeout Documentation: Assemble, compile, and process comprehensive Operations and Maintenance (O&M) manuals in both physical and electronic formats (utilizing Bluebeam to apply bookmarks and organize hyperlinked PDFs).
  • Communication & Support: Manage minimal phone system duties and answer calls professionally to support daily office operations.
  • Quality Control: Ensure all technical submittals align with project specifications before routing for GC or engineer approvals.


Required Qualifications & Experience:

  • Solid understanding of the Construction Submittal Process and administrative workflows.
  • Demonstrated proficiency with Procore and Bluebeam Revu (specifically PDF manipulation and bookmarking).
  • Strong command of the Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional organizational skills, attention to detail, and proactive follow-up habits.


Preferred Qualifications & Experience:

  • Prior experience working in commercial, industrial, or mechanical HVAC construction administration.
  • Proven ability to manage multiple document streams across several active jobs simultaneously.
