Job Summary:

Project Solutions is seeking a Project Coordinator โ€“ Apprenticeship Program who would be responsible for the day-to-day coordination and execution of the statewide apprenticeship initiative. This role ensures smooth program operations by coordinating with schools, employers, and partners; managing scheduling and logistics; and supporting participant recruitment and application processes. The position serves as the central point of coordination for program activities, ensuring timelines are met, stakeholders are engaged, and deliverables are completed in alignment with contract requirements. This role builds on core administrative and coordination functions while focusing specifically on workforce and apprenticeship program delivery.

Position Duties and Responsibilities

Program Coordination & Execution (Core Role)

  • Manage day-to-day operations of the apprenticeship program, ensuring all activities align with program goals, timelines, and contract deliverables
  • Track program milestones, deliverables, and performance metrics; prepare regular status updates and reports
  • Maintain organized documentation of program activities, participant data, and compliance requirements
  • Identify and resolve operational challenges to ensure program continuity and success

School & Partner Coordination

  • Serve as primary liaison between the program and participating schools, training providers, and community partners
  • Coordinate program implementation across multiple school districts, including scheduling presentations, orientations, and training sessions
  • Collaborate with educators, counselors, and administrators to promote apprenticeship opportunities and support student engagement
  • Develop and maintain strong partnerships with employers and stakeholders to support program participation

Scheduling & Logistics

  • Coordinate all program scheduling, including workshops, orientations, meetings, and training sessions (virtual and in-person)
  • Manage calendars, venue arrangements, travel coordination, and event logistics
  • Ensure all program materials, technology, and resources are prepared and available for events and training sessions
  • Support facilitation and execution of events, workshops, and outreach activities

Application & Participant Support

  • Support the apprenticeship application process, including outreach, intake, screening, and onboarding of participants
  • Assist applicants with completing required forms, documentation, and eligibility requirements
  • Maintain applicant tracking systems and ensure accurate data entry and reporting
  • Provide ongoing communication and support to participants throughout the program lifecycle

Outreach, Communications & Marketing Support

  • Assist in development and distribution of program marketing materials, presentations, and outreach campaigns
  • Support social media, website updates, and communications to promote program visibility and engagement
  • Participate in community events, school visits, and partner meetings to increase awareness of apprenticeship opportunities

Reporting & Administrative Support

  • Prepare monthly, quarterly, and annual reports summarizing program outcomes and deliverables
  • Collect and analyze feedback through surveys and stakeholder engagement to support continuous improvement
  • Maintain accurate records to ensure compliance with the client and contract requirements
  • Provide general administrative support to the Program Manager and broader team

Supervision

  • Reports to the Business Services Program Manager and collaborates closely with internal teams and external stakeholders.
  • Supervisory Responsibilities: None

Required Education, Skills, and Abilities
Education

  • Bachelorโ€™s degree in Business Administration, Education, Public Administration, Workforce Development, or related field; or
  • Equivalent education and experience may be considered

Experience

  • 2-4 years of experience in program coordination, project coordination, education, workforce development, or a related field
  • Experience in coordinating events, schedules, or multi-stakeholder programs
  • Experience in working with schools, training programs, or workforce initiatives preferred

Skills & Abilities

  • Project Coordination: Strong organizational skills with ability to manage multiple tasks, timelines, and stakeholders simultaneously
  • Communication: Excellent written and verbal communication skills with ability to engage diverse audiences
  • Relationship Management: Ability to build and maintain partnerships with schools, employers, and community organizations

Additional Requirements

  • Possess a valid State-issued Driverโ€™s License for all positions that are required to drive a vehicle for company purposes
  • Must accept confidentiality as a strict condition of employment
  • Successfully pass Criminal Background Check
  • Maintain any training and credential requirements as per policy and company contracts
  • Occasional overnight in-state travel may be required
  • Located in South Dakota
