What You’ll Do

  • Project Intake Analysis — Serve as the central point of contact for incoming capital project requests and ensure requests are complete, accurate, and properly documented.
  • Needs Validation Support — Assist Facilities leadership in validating project needs with Operations teams (Area Directors and Center Directors) by gathering data, photos, quotes, and supporting documentation.
  • Vendor Research & Pre‑Bid Preparation — Conduct vendor sourcing, compile references, collect pricing benchmarks, and prepare documentation packages for leadership review.
  • Pre‑Execution Coordination — Coordinate early‑stage communication between vendors, contractors, and center staff to ensure alignment before work is scheduled.
  • Scheduling & Pipeline Tracking — Maintain planning calendars, project intake logs, and pre‑execution timelines to support resource forecasting and operational planning.
  • Financial & Data Analysis — Prepare and track Purchase Orders (POs), maintain budget worksheets, and support Accounts Payable by verifying invoice accuracy.
  • Documentation & Reporting — Keep project files, budgets, and reports organized and up to date; prepare summaries and dashboards for supervisor review.
  • Departmental Support — Provide administrative and analytical support for emergency requests, and departmental initiatives.

Qualifications

  • Experience in project coordination, project analysis, facilities, construction, property management, or related fields preferred.
  • Strong analytical, organizational, and communication skills with exceptional attention to detail.
  • Ability to synthesize information, manage multiple priorities, and maintain accuracy in a fast‑paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); familiarity with purchase order or project tracking systems a plus.
  • Basic understanding of facilities or capital improvement processes helpful but not required.
  • Professional, approachable, and adaptable in both written and verbal communication.

What We Offer

  • Competitive salary
  • Comprehensive benefits package, including a 60% enrollment discount
  • A collaborative, mission‑driven work environment
  • The opportunity to support meaningful improvements across our network of centers through data‑driven planning and analysis
