Project Event Coordinator information

What is a project event coordinator?

Project Event Coordinators are professionals responsible for planning, organizing, and executing events related to specific projects within an organization. They handle logistics, coordinate with vendors and stakeholders, manage budgets, and ensure that events run smoothly and meet project objectives. Their role is crucial for delivering successful events on time and within scope, often requiring strong organizational and communication skills.

How does a project event coordinator typically collaborate with vendors and internal teams during the planning process?

A Project Event Coordinator plays a pivotal role in bridging communication between vendors and internal teams to ensure seamless event execution. They coordinate logistics, negotiate contracts, and relay event requirements to vendors such as caterers, audio-visual technicians, and venue managers. Internally, they work closely with marketing, finance, and operations departments to align event goals, manage budgets, and track progress. Frequent meetings and clear documentation help maintain alignment and resolve any issues quickly, making strong organizational and interpersonal skills essential for success.

What are the key skills and qualifications needed to thrive as a project event coordinator, and why are they important?

To thrive as a Project Event Coordinator, you need strong organizational skills, attention to detail, and preferably a degree in event management, hospitality, or a related field. Familiarity with project management software (such as Asana or Trello), event planning tools, and budgeting systems is often required. Excellent communication, problem-solving, and time management skills help you collaborate with vendors, clients, and team members while handling unexpected challenges. These skills ensure seamless event execution, client satisfaction, and the ability to manage multiple tasks in a dynamic environment.

Job description

Craig’s is seeking an organized, hospitality-driven Event Coordinator to support our Event & Marketing Manager with private dining and special events.

This role combines event administration, guest communication, and on-site coordination. The Event Coordinator will manage inquiries and planning for smaller private dining parties while supporting the Event & Marketing Manager with larger events and special projects.

Responsibilities

  • Respond to and coordinate private dining inquiries for parties of approximately 20 guests or fewer
  • Communicate with guests throughout the planning process, including menus, timing, setup, and special requests for smaller private dining parties
  • Create custom event menus using established templates and prepare/update BEOs
  • Assist with event setup and ensure spaces are prepared according to event details
  • Coordinate with managers, culinary teams, and service staff to ensure event details are clearly communicated
  • Maintain a light but attentive floor presence during events to ensure everything is running smoothly
  • Assist with day-of event coordination and troubleshooting as needed
  • Help source rentals, décor, supplies, and other materials for larger events
  • Provide administrative and event support to the Event & Marketing Manager as needed

Schedule

The anticipated schedule is Monday–Friday, approximately 1:00 PM–9:00 PM. The role balances afternoon administrative and planning work with an evening presence during private events.

Occasional adjustments to scheduled days or hours may be required based on event and business needs.

Compensation

This position will be paid hourly (based on experience) and will be eligible for commission based on event sales.

What We’re Looking For

  • Highly organized with strong attention to detail
  • Warm, polished, and professional communication skills
  • Strong hospitality and guest-service instincts
  • Comfortable balancing administrative work with hands-on event coordination
  • Able to manage multiple priorities and adapt when event details change
  • Restaurant, hospitality, private dining, catering, or event experience preferred
  • Experience with Tripleseat, Toast, OpenTable, Microsoft Word, or similar platforms is a plus

This is a great opportunity for someone who enjoys both the behind-the-scenes organization of events and being present to help bring them to life. The position will work closely with the Event & Marketing Manager and has the opportunity to evolve as Craig’s private dining and events business continues to grow.
