Job description

Mary Kenealy Events is seeking a highly organized, detail-oriented event coordinator to join our growing team. This position is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and is passionate about creating exceptional events. The ideal candidate is proactive, creative, and able to manage multiple projects simultaneously while providing outstanding client service.

This is a full-time, fully onsite position, requiring candidates to work from our office during regular business hours while also supporting on-site events as needed. Because the nature of the event industry extends beyond a traditional workweek, candidates must be flexible and available to work evenings, weekends, and additional hours during event season. Event-day responsibilities are an essential part of this role and may require hours beyond the standard 40-hour workweek.


Key Responsibilities

  • Assist with the planning and execution of corporate, nonprofit, and social events.
  • Conduct vendor research, solicit proposals, compare pricing, and assist with vendor selection and communicating with vendors regarding availability, contracts, timelines, and event logistics.
  • Serve as a point of contact for clients, providing timely communication and exceptional customer service throughout the planning process.
  • Coordinate multiple events and clients simultaneously while ensuring deadlines are met.
  • Assist with event design, presentations, mood boards, and client proposals.
  • Create and edit marketing materials, event collateral, signage, and social media graphics using Canva and Adobe Creative Suite.
  • Support the team with administrative tasks, scheduling meetings, organizing files, and maintaining accurate records.
  • Assist with on-site event setup, coordination, vendor management, and event execution.


Qualifications

  • 1-3 years of experience in event planning, hospitality, marketing, communications, or a related field preferred.
  • Exceptional organizational and time management skills.
  • Ability to manage multiple clients and projects in a deadline-driven environment.
  • Strong written and verbal communication skills.
  • Professional, polished, and client-focused demeanor.
  • Experience with vendor sourcing, negotiation, and relationship management is a plus.
  • Proficiency in Canva and Adobe Creative Suite (InDesign, Illustrator, and Photoshop preferred).
  • Experience with Microsoft Office and Google Workspace.
  • A background in graphic design, digital media, marketing, or visual communications is strongly preferred.
  • Ability to work both independently and collaboratively as part of a team.
  • Willingness to work evenings and weekends as required for events.
