Job description

GENERAL JOB SUMMARY:

We are seeking a highly motivated project proposal coordinator to support Kratos SRE, Inc. in Crane, Indiana. The selected candidate will serve as a key resource in managing proposal development activities and coordinating project documentation efforts. This role is integral for organizing, tracking, and completing proposal-specific deliverables while ensuring compliance with organizational standards and customer requirements. The project proposal coordinator will work closely with subject matter experts (SMEs), engineers, business development teams, and program managers to ensure proposals are accurately developed, well-organized, and submitted on time.

ESSENTIAL JOB FUNCTIONS:

Proposal Management and Coordination

Coordinate end-to-end proposal development activities, including kickoff meetings, milestone tracking, and submission deadlines

  • Develop and maintain proposal schedules, action item trackers, and status reports
  • Organize and facilitate proposal team meetings, capturing action items and ensuring follow-through
  • Manage proposal document configuration, version control, and compliance matrices
  • Coordinate proposal reviews (color team reviews: pink, red, gold) and consolidate feedback
  • Ensure adherence to RFP/RFI requirements and company proposal standards
  • Track and communicate proposal deliverable status to leadership and stakeholders

Document Development and Support

Develop and maintain proposal templates, outlines, and content libraries

  • Compile and format proposal sections, including executive summaries, technical volumes, and cost volumes
  • Coordinate graphics, charts, tables, and other visual elements to enhance proposal quality
  • Maintain a library of boilerplate content, past performance examples, and reusable materials

Collaboration and Communication

Collaborate with SMEs, technical staff, and business development teams to gather information and ensure accurate content development

  • Support coordination across multiple contributors, including subcontractors and teaming partners
  • Communicate effectively with stakeholders at all levels of the organization
  • Handle sensitive and proprietary information in accordance with company and government security standards

Quality Assurance

Review proposals for completeness, accuracy, and compliance with solicitation requirements

  • Ensure all proposal volumes meet page limits, formatting requirements, and submission guidelines
  • Conduct final quality checks before proposal submission
  • Support post-submission activities, including debrief analysis and lessons learned

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Travel

  • Up to 10% (support to customer sites, industry partner facilities, and proposal strategy sessions)

Technical Skills and Professional Attributes

  • Strong written and verbal communication skills.
  • Excellent organizational and project management skills with ability to manage multiple concurrent proposals
  • Exceptional attention to detail and ability to work under tight deadlines
  • Proficiency with Microsoft Office Suite, especially Word, Excel, PowerPoint, and SharePoint, and Adobe suite
  • Experience with proposal management tools and collaboration platforms (e.g., Microsoft Teams, SharePoint, or specialized proposal software)
  • Strong interpersonal skills for effective collaboration with cross-functional teams
  • Ability to remain calm and focused in high-pressure, deadline-driven environments
  • Customer service-oriented mindset with ability to support diverse stakeholders

EDUCATION AND EXPERIENCE:

Education:

Required: Bachelor's degree in English, Communications, Business Administration, Technical Writing, Project Management, or a related discipline; equivalent experience considered

Experience Required:

  • Minimum of 2-3 years of experience in proposal coordination, project coordination, or related roles
  • Demonstrated experience managing documentation in a deadline-driven environment
  • Strong understanding of proposal development processes and best practices
  • Experience with document configuration management and version control
  • Proven ability to coordinate multiple stakeholders and deliverables simultaneously
  • Familiarity with government contracting or proposal compliance requirements (if applicable to your industry)

Preferred:

  • Experience supporting federal government proposals (DoD, Navy, Air Force, etc.)
  • Knowledge of proposal compliance requirements (FAR/DFARS)
  • Experience with capture management or business development activities
  • Understanding of cost proposal development and pricing strategies

Security Clearance:

Possess or be able to obtain Secret security clearance.
