Job description

Hunton Trane, a division of the Hunton Group (www.huntongroup.com), is seeking to hire a detail-oriented Project Coordinator to join our Team. In this role, you will be responsible for routine project documentation, procurement, job costing, customer invoicing, and administrative closeout of each project. Selected individuals will also be required to closely interact with internal and external customers to ensure the timely completion of each project, to foster a positive culture. Responsibilities:

  • Review scope of work for each job, establishing timelines, budgets, and parameters to ensure objectives are met, particularly in projects with a large bill of material.
  • Serve as the primary point of contact for customers and project stakeholders, including building owners, mechanical contractors, subcontractors, and sales engineers. Address customer concerns, implement corrective actions, and ensure consistent communication to maintain high levels of satisfaction.
  • Monitor and compare project schedules with contractors' timelines. Ensure alignment with internal equipment ordering processes and proactively resolve any discrepancies to avoid delays.
  • Oversee project budgets and ensure forecasted costs align with project completion expectations. Track and control project expenses, identify potential cost-saving opportunities, and escalate concerns as needed.
  • Manage the procurement process by entering equipment orders, issuing purchase orders, and coordinating subcontractor agreements to ensure timely delivery of materials and services.
  • Monitor project cash flow, including progress billing and collections. Provide support in managing resources and ensuring proper allocation of manpower and materials to meet project milestones.
  • Follow established standard workflow, utilizing several enterprise systems.
  • Process the transition of projects from Sales to Operations within enterprise business systems.
  • Administer projects throughout entire life cycle to ensure contract compliance and successful delivery. This includes coordination with regional leadership, contract management, legal, and financial services.
  • Coordinate monthly customer invoicing process per customer requirements to ensure timely and accurate billing.
  • Coordinate with project team members for accurate and timely recording of project costs, including time sheets, vendor invoices, etc.
  • Other duties as assigned.

Qualifications:

  • Possess a valid Texas driver's license.
  • Ability to pass a background check and pre-employment drug test.
  • Ability to thrive in fast paced environments.
  • Ability to manage details to specifications for each individual project.
  • Ability to work at office location 5 days per week, 40 hours per week with overtime as required.

Education and/or Experience:

  • High School diploma or GED and up to two (2) years of related experience; or equivalent combination of education and experience.
  • Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Demonstrated ability to perform tasks such as problem solving, decision making, rational thinking, and exercising good judgement.
  • Experience prioritizing tasks in order to meet tight deadlines within a fast-paced environment.
  • Previous experience with financial systems and basic accounting, including accounts receivable and accounts payable, an asset.
  • Construction law and regulation knowledge is an asset.

Familiarity with the operation of HVAC Systems preferred, not required.
