About Canadian Liners

Canadian Liners specializes in the supply and installation of geomembrane liner systems for environmental, mining, municipal, and industrial projects across Canada.

We are seeking a highly organized and detail-oriented Project Administrator to join our team on a project-based contract. Reporting to the Operations Coordinator, you’ll support project administration, payroll and billing processes, travel logistics, and day-to-day operations while collaborating with project managers, field personnel, and clients.

This role may require occasional travel to project sites across Canada and has the potential to transition into a permanent position based on operational needs and performance.

Key Responsibilities

Project Administration

  • Support Project Managers throughout all phases of project execution.
  • Maintain project documentation, including contracts, purchase orders, change orders, subcontracts, and project correspondence.
  • Track project labour, equipment, materials, schedule, and other project-related information.
  • Coordinate with field crews to collect, review, and enter labour and equipment time into company systems, ensuring accurate payroll processing and project billing.
  • Assist with project set-up, document control, filing, and closeout.
  • Prepare and submit project documentation for clients and stakeholders.

Accounts Receivable

  • Prepare and submit client invoices, progress billings, and supporting documentation, including through client billing portals where required.
  • Monitor outstanding receivables and assist with collections.
  • Maintain accurate customer records within the accounting system.

Accounts Payable

  • Process supplier invoices and verify coding.
  • Enter invoices into the accounting system.
  • Reconcile vendor statements and resolve discrepancies.
  • Assist with vendor payments and accounts payable reporting.
  • Respond to vendor inquiries and maintain vendor records.

Administrative Support

  • Provide administrative support to project managers and operational teams.
  • Coordinate travel, accommodations, rental vehicles, and project mobilizations.
  • Establish and maintain fuel cards, hotel accounts, vendor accounts, and supplier credit applications.
  • Coordinate purchase orders and project or office supply orders.
  • Maintain project documentation, spreadsheets, reports, and correspondence.
  • Support employee onboarding and project administrative requirements where required.
  • Liaise with vendors, clients, and internal departments.
  • Perform other administrative duties to support the successful execution of projects.

Qualifications

  • 2+ years of experience in project administration, construction administration, accounting support, or office administration.
  • Post-secondary education in Business Administration, Office Administration, Accounting, or a related discipline is considered an asset.
  • Experience supporting construction, industrial, or project-based operations.
  • Experience coordinating travel and workforce mobilization is an asset.
  • Experience with accounting, project management, scheduling, or ticketing software.
  • Advanced proficiency in Microsoft Office (Excel, Word, and Outlook).
  • Exceptional organizational skills with strong attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to work both independently and collaboratively within a team.
