JOB DESCRIPTION BRIEF

TRU Development is looking for an individual who aspires to grow themselves both personally and professionally, we have a great opportunity that we are actively seeking the perfect fit for a Project Coordinator.

The Project Coordinator is responsible for assisting the Construction and Development teams in the day-to-day operations and functions related to our development process at various phases of projects such as land acquisition, site entitlements, pre-construction, construction administration and/or project close-out. You will represent the Owner/Developer in this position. Additionally, you would represent and be actively a Project Coordinator for our TRU CM entity.

This role will shift frequently from due diligence, planning, entitlement, design, pre-construction and/or construction coordination. As part of a fast-growing and active developer with a significant pipeline, the path for internal promotion and professional development is significant.

This candidate must be self-motivated, punctual, and professional in appearance with excellent written and verbal communication skills, this person ideally would have construction experience, interested in joining the Owners side of projects and want to grow on the front-end of the development process.

ESSENTIAL JOB FUNCTIONS

Job functions outlined below are intended for the Project Coordinator to understand the team's needs, deadlines, expectations and be able to function diligently, have awareness of urgency, proactively, collaboratively, and responsibly by following the structured process and workflow.

  • Participate in elements of the development process from project inception through completion and the subsequent turnover to end-user.
  • Coordinate the work of the Development team with other departments internally (Finance, Accounting, and Operations) both within TRU and with outside consultants.
  • Facilitate multiple teams of consultants to oversee project due diligence and preparation of project documentation for proposed developments.
  • Track and assist in the preparation, negotiation and execution of all essential project documents and contracts.
  • Participate in various design and construction progress meetings.
  • Facilitate due diligence process for all new development opportunities.
  • Review construction related documents such as bids, budgets, schedules, contracts, change orders and pay apps. TRU CM is more extensive with reviews, which the Project Coordinator would lead the day-to-day.
  • Coordinates, organizes, plans, and prioritizes daily development activity collaboratively with development team.
  • Provides monthly project status reports to investors.
  • Drafts pre-development and pre-construction documents as necessary, including base contracts, agreements, regulatory paperwork, subcontracts, job information sheets, procurement logs, plans, addenda, specifications, and schedules.
  • Facilitate Submittals and Register per project based on specifications and requirements.
  • Facilitate and Log RFI's per project based as necessary.
  • Track and assist in maintaining and ensuring that the project budget is achieved.
  • Sets up and maintains project job files via SmartSheet platform and on internal shared drive.
  • Assist with the execution and submission of monthly project updates for management.
  • Ensures SmartSheet data, documents and information are always accurate and up to date.
  • Responds and communicates to all project team inquiries in a timely and efficient manner.
  • Prepares internal team meeting agenda and notes.
  • Administers the completion and closeout process for all construction projects.
  • Demonstrates a basic knowledge of department procedures, tasks, and company policies
  • Recommends processes to improve Company efficiency.
  • Responsible for day-to-day communications with Supervisor and ensuring all reporting and tasks are completed on time.
  • Maintains regular and consistent attendance according to required work schedule decided by the Company.
  • Always represents the Company in a professional manner.
  • Provides project administrative support to the department by facilitating daily/weekly development team task deliverables.

JOB QUALIFICATIONS/REQUIREMENTS

  • Bachelor's Degree in Architecture, Real Estate Development, Construction Management, or related field preferred.
  • Strong desire to grow in real estate development, land development and/or construction management
  • Understanding of architectural documentation, building and construction practices, and zoning.
  • Independently organizes, prioritizes, and manages work to meet deadlines efficiently.
  • Detail-oriented and ability to manage multiple projects at once and meet deadlines
  • Excellent verbal and written communication skills.
  • People-oriented and confident in presenting in groups and public settings.
  • Ability to make decisions quickly and adapt to ever-changing environments
  • Entrepreneurial drive, intelligence, desire to learn, self-motivated, and organized.
  • Proficiency with MS Office skills including Excel, PowerPoint, Word, and Project.
  • Proficient with SmartSheet and Sharefile or have general knowledge of the platforms and/or the desire to become a certified user.

  • Regularly sit and stand for several hours at a time
  • Prolonged periods of sitting at a desk and working on a computer
  • Potentially prolonged periods of standing or walking at project sites
  • Regularly use the hand and arm for writing and/or typing
  • Occasionally climb up and down stairs several times each day
  • Occasionally lift and/or move up to 15 pounds.
  • Must have valid driver's license.
  • Occasional travel to existing properties or potential acquisitions may be required, which may include air travel and/or overnight stays.
