360 Rail Services is a nationally recognized railroad engineering, construction, maintenance, surveying, and professional services company serving Class I railroads, short lines, industrial facilities, ports, transload terminals, and private rail owners throughout the United States. Our team delivers engineering, construction, maintenance, inspection, project management, and consulting services that support critical rail infrastructure across North America.
As part of our continued growth and organizational evolution, we are expanding our Project Delivery Department to better support engineering, construction, and maintenance operations. We are seeking a highly motivated Project Delivery Coordinator who enjoys solving operational challenges, coordinating multiple projects, working with vendors, and supporting successful project execution from planning through completion.
Position Summary
The Project Delivery Coordinator serves as the operational backbone of the Project Delivery Department by supporting engineering, construction, and maintenance projects through procurement, estimating support, vendor management, project logistics, purchasing, subcontract administration, scheduling coordination, and project documentation. Working closely with Project Managers, Engineering, Maintenance, Construction, Finance, vendors, and customers, this position helps ensure projects are properly planned, competitively procured, accurately documented, and efficiently executed from project startup through closeout.
Primary Responsibilities
The Project Delivery Coordinator is responsible for coordinating and supporting the daily operational activities that allow projects to move efficiently from proposal through execution. Responsibilities include creating and maintaining project documentation within the company's project management platform, coordinating purchase orders, subcontract agreements, vendor quotations, material procurement, equipment logistics, and project startup documentation while ensuring projects are organized and prepared for successful execution. This position serves as the primary point of coordination between Project Managers, engineers, field personnel, vendors, subcontractors, customers, and Finance to ensure materials, equipment, and services are procured accurately, competitively, and delivered when needed.
In addition to project coordination, this role provides estimating and procurement support by obtaining vendor quotations, reviewing pricing for completeness and accuracy, identifying discrepancies, coordinating competitive bids, and assisting with value engineering opportunities. The Project Delivery Coordinator also supports project billing, commitment tracking, purchasing, scheduling coordination, vendor relationships, and internal communication while maintaining accurate project documentation and supporting multiple departments simultaneously. The successful candidate will play a significant role in improving project execution, operational efficiency, procurement practices, and overall project delivery throughout the company.
Qualifications & Experience
The ideal candidate will possess a minimum of five (5) years of experience supporting project coordination, construction operations, procurement, estimating, project management, or a related project-based environment, preferably within the railroad, heavy civil, industrial construction, utilities, maintenance operations, or similar industries. Candidates should demonstrate a strong understanding of construction practices, project specifications, requests for proposals (RFPs), procurement processes, subcontract administration, project documentation, and the coordination required to successfully support projects from planning through completion.
The successful candidate will possess exceptional communication, organizational, and problem-solving skills with the ability to effectively work with Project Managers, engineers, field personnel, customers, vendors, subcontractors, and executive leadership. They should be proactive in obtaining competitive vendor pricing, developing supplier relationships, reviewing quotations for completeness and accuracy, identifying discrepancies, and recognizing opportunities for value engineering and cost savings. A strong attention to detail, sense of urgency, customer service mindset, and the ability to manage multiple priorities while maintaining accuracy are essential.
Experience supporting estimating activities, procurement, material sourcing, equipment coordination, scheduling, purchasing, project cost tracking, and project documentation is highly desirable. Candidates should have a general understanding of construction equipment, materials, and project sequence, along with the ability to interpret plans, specifications, scopes of work, and contract documents. Experience using Microsoft Office applications and modern construction project management, scheduling, procurement, estimating, document management, and customer relationship management (CRM) software is preferred. The ability to quickly learn new technology platforms and continuously improve operational processes is essential.
