Job description

We are looking for a Full Time Office Assistant for our construction industry office. We want someone who is more than a receptionist or data-entry person. We are looking for a proactive, organized individual who can become the administrative backbone of our office—someone who sees what needs to be done, follows through, keeps management informed, and helps keep accounting, projects, employees, vendors, and customers organized. Essential Duties and Responsibilities included but not limited to:

- Provide basic accounting administration support: AP/AR

- Maintain and audit vendor files including W-9's, Insurance Certificates and assist with 1099 forms.

- Assign, process, and maintain job number lists.

- Create Project Files.

- Review and process all invoices and verify accuracy

- Research Invoice discrepancies.

- Data Entry: Daily/weekly Purchase Order Entry

- Preparation of weekly payroll.

- Preparation and Reporting of Monthly Certified Payroll.

- Responsible for the maintenance and organization of accounting files.

- Acquire the skillset to manage the job closing process.

Clerical Support Duties - Included but not limited to:

- Prepare and modify documents including correspondence, reports, drafts, memos and emails.

- Maintains and updates filing system. Retrieves information from files when needed.

- Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.

- Works independently and within a team on special nonrecurring and ongoing projects.

- Cross Train office Duties: To cover for others on Vacation and/or PTO

Other Qualifications and/or Requirements:

- Must have knowledge of Microsoft Word, Outlook, and Excel.

- Previous experience in construction industry preferred.

- Results oriented and able to work under pressure

- Self-motivated and driven

- Good Communication Skills, General Office Skills, and Follow Through.

- Critical Thinking and ability to learn tasks at a quick pace

- One year of responsible clerical and routine technical accounting experience involving the maintenance and posting of accounting.
