Job description

The Supply Chain & Operations Coordinator serves as the central point of coordination for material planning, inventory management, transportation logistics, customer order fulfillment, and operational administration. This role ensures the efficient flow of materials, products, and information between suppliers, warehouses, manufacturing operations, customers, and transportation providers to support production requirements and customer satisfaction. The position also provides day-to-day oversight and direction to one administrative team member while driving process improvements across supply chain and operational activities.
Reporting Structure
  • Reports directly to the General Manager.
  • Works closely with the Logistics Manager or Warehouse Supervisor to support inventory movement, shipping priorities, and warehouse coordination.
  • Provides oversight and direction to one Administration Staff member.
  • Collaborate with Purchasing, Production, Customer Care, Finance, Engineering, and Quality departments to support business objectives.

Key Responsibilities
Supply Chain Coordination
  • Monitor raw material, packaging, and finished goods inventory levels.
  • Coordinate material requirements with Purchasing and Production to ensure uninterrupted operations.
  • Support inventory replenishment planning and maintain optimal stock levels.
  • Identify potential material shortages and proactively communicate risks and mitigation plans.
  • Assist with supplier communications regarding delivery schedules, shortages, and order changes.
  • Support implementation of inventory control and continuous improvement initiatives.
Logistics & Transportation
  • Coordinate inbound and outbound domestic and international shipments.
  • Schedule transportation requirements with freight carriers, brokers, and third-party logistics providers.
  • Track shipments and resolve delivery delays, freight damage, and transportation issues.
  • Manage shipping documentation, including Bills of Lading, customs documentation, freight invoices, and shipment records.
  • Coordinate intercompany transfers and ensure timely delivery of materials between facilities.
  • Expedite critical shipments when required to support customer or production needs.
Customer Order Management
  • Coordinate customer order processing and fulfillment activities.
  • Monitor order status from entry through delivery.
  • Work closely with Customer Care and Production teams to resolve order-related issues.
  • Ensure customer delivery commitments are met and communicate order updates as required.
  • Support special customer requests, rush orders, and delivery prioritization activities.
Inventory & Warehouse Coordination
  • Maintain accurate inventory records within the ERP system.
  • Support cycle counting and annual physical inventory activities.
  • Investigate inventory discrepancies and coordinate corrective actions.
  • Work closely with warehouse personnel to ensure efficient receiving, storage, and shipping activities.
  • Monitor inventory turnover and identify opportunities to reduce excess or obsolete stock.
Operational Administration
  • Provide daily guidance and oversight to one administrative team member.
  • Assign tasks, monitor workload, and support performance development.
  • Ensure administrative activities are completed accurately and efficiently.
  • Maintain departmental records, reports, and performance metrics.
  • Develop and update standard operating procedures as needed.
ERP & Data Management
  • Maintain accurate supply chain and inventory data within ERP systems (Dynamics 365 preferred).
  • Generate reports related to inventory, purchasing, shipping, and operational performance.
  • Analyze trends and provide recommendations to improve efficiency and reduce costs.
  • Ensure data integrity and accuracy across supply chain processes.
Cross-Functional Collaboration
  • Work closely with Production, Engineering, Purchasing, Quality, Customer Care, and Finance teams.
  • Participate in planning meetings to align materials, production schedules, and customer requirements.
  • Support new product launches and operational projects.
  • Assist with identifying and implementing process improvements that enhance efficiency, accuracy, and service levels.
Continuous Improvement & Compliance
  • Recommend improvements to inventory management, logistics processes, and operational workflows.
  • Support Lean Manufacturing and continuous improvement initiatives.
  • Ensure compliance with company policies, transportation regulations, customs requirements, and safety procedures.
  • Monitor key performance indicators (KPIs) and contribute to operational excellence initiatives.
Qualifications
Education
  • Post-secondary diploma or degree in Supply Chain Management, Logistics, Operations Management, Business Administration, or a related field.
Experience
  • Minimum 3–5 years of experience in supply chain, logistics, inventory control, purchasing, or operations coordination.
  • Experience in a manufacturing environment is preferred.
  • Experience using ERP systems, preferably Microsoft Dynamics 365.
  • Experience coordinating domestic and international shipments is considered an asset.
