Job Description
Our growing engineering firm is looking for a full-time Administrative Assistant to also assist with project invoicing and billing coordination to join our team in Wethersfield, CT office.
Responsibilities include but are not limited to:
• Assist Executive Vice President and Engineering staff.
• Scheduling, correspondence and coordination with clients and subconsultants.
• Collation and assembly of various client reports and documents.
• Data entry, review and filing of project documentation to maintain current and accurate
databases.
• Assist with maintaining project billing records and tracking project expenses.
• Assist with preparation, review and processing of project invoices.
• Assist with biweekly timesheet and payroll processing.
• Coordinate with other offices.
• Make travel arrangements and coordinate meetings.
• Assist with marketing related (proposals, social media) administrative aspects.
Requirements:
• 2+ years of administrative experience, preferably in the engineering or construction
industries.
• Marketing/Social Media experience a plus.
• Excellent communication, organizational and follow-through skills.
• Motivated self-starter with the ability to work well independently and as part of a team.
• Strong computer skills in MS office (Word, Excel, Power Point, Outlook).
• Comfortable working with numbers.
• Ability to handle confidential materials.
• Effectively manage multiple tasks and deadlines.
