Reports to: Activities Director
FLSA Status: Non-Exempt
Schedule: Tuesday–Saturday; flexibility for occasional evenings, holidays, and special events may be required.


POSITION SUMMARY

The Activities Assistant plays an important role in creating an engaging, active, and welcoming lifestyle for the residents of Symphony Park. This position works closely with the Activities Director to support the planning, preparation, coordination, and execution of resident activities, events, programs, and outings.


A significant responsibility of this role is providing transportation for the majority of Symphony Park’s scheduled group outings. The Activities Assistant will safely transport residents to restaurants, entertainment venues, cultural attractions, shopping destinations, community events, and other planned excursions while helping ensure each outing is enjoyable, organized, and reflective of Symphony Park’s standards of hospitality.

ESSENTIAL JOB FUNCTIONS

Activities & Resident Engagement

  • Support the Activities Director in the implementation of a diverse and engaging calendar of resident activities, programs, events, and outings.
  • Assist with the preparation, setup, execution, and cleanup of activities and special events.
  • Lead activities and programs independently when assigned by the Activities Director.
  • Engage residents personally and encourage participation in activities, events, and outings.
  • Help create an energetic, welcoming, and inclusive atmosphere that encourages residents to become involved in community life.
  • Develop positive relationships with residents and become familiar with their interests, preferences, abilities, and activity needs.
  • Assist with exercise, recreational, educational, social, entertainment, and leisure programs appropriate for the resident population.
  • Support family engagement, resident celebrations, holiday programs, community events, and other special programming.
  • Assist with resident attendance and activity participation records as needed.
  • Support incoming resident and help new residents become connected to activities, programs, and other residents.
  • Help maintain appropriate activity supplies, equipment, games, decorations, and program materials.
  • Assist with preparing spaces throughout the community for activities and returning those areas to appropriate condition afterward.
  • Communicate effectively with other Symphony Park departments to coordinate programs, events, transportation, and resident needs.
  • Serve as a visible, enthusiastic ambassador for Symphony Park and its culture.
Group Outings & Resident Transportation
  • Serve as the primary driver for scheduled Activities group outings and excursions.
  • Safely transport residents to and from restaurants, entertainment venues, shopping destinations, cultural attractions, community events, and other scheduled locations.
  • Provide a welcoming and enjoyable experience before, during, and after each outing.
  • Assist residents when entering and exiting Symphony Park vehicles and provide reasonable assistance with personal items or mobility devices as appropriate.
  • Ensure residents are accounted for before departing the community, during outings, and before returning to Symphony Park.
  • Follow all traffic laws, company transportation policies, and established safety procedures.
  • Maintain a safe driving record and operate Symphony Park vehicles in a professional and responsible manner.
  • Plan routes in advance and utilize GPS and traffic information to support timely departures and arrivals.
  • Remain punctual and organized with scheduled transportation times.
  • Be prepared to follow Symphony Park emergency procedures in situations involving accidents, adverse weather, resident health concerns, or other emergencies.
  • Conduct appropriate pre-trip and post-trip inspections of community vehicles.
  • Monitor basic vehicle conditions including fuel level, tire condition, fluids, cleanliness, and overall readiness. 


CUSTOMER SERVICE & RESIDENT EXPERIENCE
  • Provide exceptional hospitality and customer service to residents, families, guests, and community partners.
  • Treat residents with dignity, patience, compassion, and respect.
  • Maintain a positive, energetic, and solutions-oriented attitude.
  • Anticipate resident needs and look for opportunities to make activities and outings more enjoyable.
  • Respond professionally to resident questions, requests, or concerns and communicate relevant information to the Activities Director.
  • Maintain appropriate confidentiality regarding residents and community matters.
  • Represent Symphony Park professionally both inside the community and while attending off-site outings.
QUALIFICATIONS & SKILLS

The ideal candidate will:

  • Be energetic, outgoing, compassionate, dependable, and enthusiastic about working with older adults.
  • Have excellent interpersonal and communication skills.
  • Be comfortable leading groups and engaging residents in activities and social experiences.
  • Demonstrate strong organizational and time-management skills.
  • Possess a valid driver’s license and maintain a driving record acceptable under Symphony Park requirements.
  • Prior experience in senior living, recreation, hospitality, activities, customer service, transportation, or a related environment is preferred.
  • Be available to work a regular Tuesday through Saturday schedule, with flexibility for occasional evening, holiday, or special-event responsibilities.
PHYSICAL REQUIREMENTS


This position is active and requires the ability to perform duties both inside and outside the community.

The associate must be able to:

  • Frequently stand and walk throughout the community and during resident outings.
  • Sit for extended periods while operating community vehicles.
  • Safely enter, exit, and operate an SUV and passenger bus.
  • Frequently bend, reach, squat, twist, and climb stairs as necessary.
  • Frequently lift, carry, push, or move items weighing up to approximately 25 pounds and occasionally heavier items when appropriate and safe.

  • Become familiar with community fire, emergency, evacuation, and disaster procedures.
  • Maintain an appropriate degree of resident and company confidentiality.
  • Perform other duties as assigned by the Activities Director or Executive Director.
