POSITION DESCRIPTION


POSITION TITLE: Part Time Program Associate (Temporary up to 4 months)

DEPARTMENT: Membership and Programs

REPORTING RELATIONSHIPS

REPORTS TO: Director of Programming and Membership

DIRECT REPORTS INCLUDE: n/a

WORK SCHEDULE: Up to 29 hours per week

STATUS: Part-Time, Temporary (up to 4–5 months), Non-Exempt

COMPENSATION: Range: $20 to $25 per hour

BENEFIT STATUS: Non-Eligible

The Ebell of Los Angeles is a women-led nonprofit that has served the Greater Los Angeles community for over a century. Our mission is to inspire women and build community through arts, culture, education, service, and stewardship of our historic campus and collections.


POSITION SUMMARY

The Ebell of Los Angeles is seeking a Part Time Program Associate (Temporary) to support the Membership and Programs department during its peak programming season. This is a hands-on, fast-paced role that supports the planning and execution of multiple concurrent events, each with unique logistical and production needs.


The ideal candidate is flexible, highly organized, and comfortable working across varied event formats. This position provides critical support for event logistics, vendor coordination, budget tracking, and on-site execution, ensuring a high-quality experience for members, partners, and guests. Proficiency in Excel is a must!


Key Responsibilities

  • Assist with event scheduling, coordination, and day-of logistics across multiple programs
  • Create and manage event layouts, run-of-show documents, and gig sheets (Aisle Planner experience strongly preferred)
  • Serve as a point of contact during event load-in, execution, and breakdown
  • Coordinate and schedule vendors, including security, A/V, and other event partners
  • Prepare invoices and contracts for vendors and program partners
  • Track event budgets, estimates, and expenses in collaboration with department leads
  • Support production workflows and troubleshoot on-site issues as they arise
  • Ensure timelines, staffing, hospitality, and operational needs are met for each event

Qualifications

  • Strong organizational and time-management skills


  • Proficiency in Excel for tracking budgets, schedules, and staffing
  • Ability to manage multiple priorities in a fast-paced environment
  • Clear, professional communication and strong problem-solving skills
  • Experience in event coordination, hospitality, or production support preferred
  • Professional on-site presence with the ability to interface confidently with vendors, staff, and guests

Minimum Requirements- Knowledge and Essential Skills

  • Prior event planning or event support experience required
  • Ability to plan and manage logistics across multiple venues
  • Experience using seating or event layout software (Aisle Planner or similar)
  • Familiarity with Asana or other project management tools
  • Computer proficiency, including Microsoft Office, Outlook, and Excel
  • Highly organized, detail-oriented, and efficient
  • High School Diploma required

Compensation: Hourly $20 to $25 per hour.
