Job description

Mental Health Kokua (MHK) is hiring a full-time Administrative Assistant in Honolulu, HI to support our Oahu Administrative Office on Fort Street Mall. This on-site role helps keep daily office operations organized, responsive, and welcoming while supporting the teams and programs that carry out MHK's behavioral health mission across Hawaiʻi.

As an Administrative Assistant, you'll be one of the first points of contact for callers, visitors, donors, and community partners while providing essential administrative and clerical support to MHK leadership. This role is ideal for someone who enjoys staying organized, helping others, managing multiple priorities, and being the person a team can count on to keep things moving.

What You'll Do (Responsibilities)

  • Front Desk & Communication: Welcome visitors, answer and route phone calls, take messages, and help callers and guests connect with the appropriate person or resource
  • Administrative Support: Provide day-to-day clerical and administrative support, maintain records and files, and assist leadership with office needs and special projects
  • Mail, Shipping & Travel: Receive and route incoming mail and packages, coordinate FedEx shipments, and assist with travel arrangements for designated staff
  • Supplies & Office Operations: Monitor office and printer supplies, coordinate purchase requests, and help maintain efficient administrative workflows
  • Grants & Donor Support: Assist with grant submission checklists, maintain donation records, and support donor acknowledgment activities
  • Facilities & Vendors: Coordinate with vendors and repair providers to support office maintenance and facility needs
  • Community & Event Support: Assist with United Way campaigns, special drives, events, meetings, and related employee communications
  • Safety & Compliance: Maintain health and safety documentation, inspection records, testing logs, and related administrative files for MHK locations

Administrative Assistant Qualifications

  • Minimum: High school diploma or equivalent with two (2) years of clerical or administrative experience, or an equivalent combination of education and experience
  • Preferred: Bachelor's degree in Business, Communications, or a related field, or equivalent education and experience
  • Administrative Skills: Knowledge of office procedures, business correspondence, filing systems, and standard office equipment
  • Technology: Computer proficiency, including Microsoft Word, Excel, and Access
  • Professional Skills: Strong customer service, communication, organization, attention to detail, teamwork, and ability to accurately follow written and verbal instructions
  • Fit for the Role: Comfortable interacting respectfully and professionally with individuals who may be experiencing stress, mental health challenges, or crisis situations

Administrative Assistant Requirements & Work Conditions

  • Ability to pass a criminal background check and alcohol/drug screening
  • Valid Hawaiʻi driver's license, current vehicle insurance, safety inspection, and acceptable driving record
  • Ability to work on-site at MHK's Administrative Office on Fort Street Mall in Honolulu
  • Ability to lift up to 25 lbs and perform routine sitting, standing, bending, reaching, walking, and stair use, with reasonable accommodations as applicable
