Job description

The Convention Services Manager serves as the primary liaison for groups and convention clients following the sales process, ensuring seamless planning and execution of all event details. This role is responsible for coordinating meeting and event logistics, including room setups, catering menus, audiovisual requirements, accommodations, and special requests. The Convention Services Manager partners closely with clients and hotel departments to deliver exceptional guest experiences while maximizing meeting space utilization, guest room revenue, food and beverage sales, and overall profitability. Through proactive communication, attention to detail, and outstanding service, this position ensures the successful execution of group events and upholds Embassy Suites Gulf Shores' commitment to hospitality excellence.
 

Essential Functions

  • The Convention Services Manager must be ready to wear multiple hats and will work cohesively and provide organizational support to the sales and catering team during the initial booking process.
  • This person will serve on site group and catering customers in a proactive manner working with the logistics of group room blocks, food and beverage, public meeting space, and billing processes.
  • Maintain & log all client communications.
  • Attend the weekly Revenue Management, Sales and Group Pickup Meetings.
  • Work closely with the Sales Managers to ensure client satisfaction.
  • Responsible for prompt handling (within the business day) of inquiry calls and monitoring the efficient flow of paperwork relative to confirming function details to the client.
  • Have acquired knowledge with the ability to upsell clients.
  • Able to conduct hotel site inspections and client presentations.
  • Resourceful skills to provide set-ups, menus, and functions for groups.
  • Ability to produce artistic and innovative menus while working closely with the Executive Chef on pricing specialty menus.
  • Work closely with banquet department on operations and event execution, ability to consistently deliver flawless events.
  • Provide overall direction, coordination, and ongoing evaluation of operations. Detailed execution of all banquet event orders.
  • Monitor group room blocks and pick-up, generate detailed resumes for the operating departments.
  • Ability to work with outside vendors to ensure client satisfaction for all events/groups.

  • Must be able to work with and understand financial information and data, and basic arithmetic function.
  • Must be able to prioritize departmental functions to meet due dates and deadlines.

Physical Demands

  • Long hours sometimes required.
  • Light work-exerting up to 40 pounds of force occasionally, and/or 20 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

• Bachelor's Degree preferred or equivalent combination of education and experience.
• 1+ years of Convention Services Coordinator or relevant experience required.
