We are looking for a Program Coordinator supports the planning and execution of leadership events and governance forums within the Enterprise Technology (ET) organization, partnering with primary projects leads to coordinate cross-functional activities, manage documentation, and help keep team initiatives on track.

Key Responsibilities

  • Logistical Assistance: Support the execution of large-scale events, including Town Halls and All Hands meetings. This includes assisting with venue logistics, audio-visual coordination, and attendee invitation lists.
  • On-Site Support: Serve as a point of contact during live events to assist with room setup and on-site logistics, ensuring a seamless experience for leaders and participants.
  • Administrative Partnership: Coordinate with other departments to align schedules and ensure consistent event planning across the enterprise.
  • Agenda Development: Assist in the creation and management of meeting agendas for recurring governance forums and leadership sessions.
  • Process Support: Support timeline and milestone tracking across project workstreams, flagging schedule risks as needed. Partner with the broader team to keep deliverables within the agreed scope and timeline.
  • Gap Coverage: Provide flexible administrative support during peak event cycles or when organizational needs require it.
  • Collaborative Spirit: Strong ability to work as part of a team, support primary leads, and partner effectively with administrative colleagues.
  • Operational Discipline: High level of accuracy in managing agendas, tracking action items, and maintaining documentation.

  • Communication: Clear and effective written and verbal communication skills, with a focus on professional coordination.
  • Organization: Exceptional attention to detail and the ability to track multiple moving parts, deliverables, and timelines across concurrent initiatives.

Experience Preferred

  • Experience with Copilot and/or Open Code AI tools.
