We are currently looking for a Project Administrator join our Emergency Response Planning (ERP) Services team. As a Project Administrator, your day-to-day will include collaborating with cross-functional teams for the development and execution of effective emergency response plans, ensuring they meet or exceed client expectations and internal quality standards. The role requires a combination of strong organizational skills, effective communication, and a meticulous approach to documentation in the critical field of emergency response management.


What Youll Do & How Youll Make an Impact

Client Planning and Coordination

  • Follow client plans with a focus on meeting project objectives and deadlines.
  • Assist with gathering, organizing, and analyzing client information to ensure comprehensive project preparation.
  • Participate in internal kickoff meetings to align team efforts with client goals and identify key project deliverables.


File and Documentation Management

  • Maintain and organize project files and folders to ensure efficient access and retrieval of information.
  • Support the creation, preparation, and distribution of public information pamphlets and other documentation.
  • Assist with the development of corporate ERPs and field cores, ensuring accuracy and compliance with standards.
  • Support and coordinate hazard mitigation and emergency preparedness initiatives.


Time Entry and Budget Management

  • Perform tasks related to time tracking and internal budget management with a higher level of accuracy and detail.
  • Ensure precise and timely logging of project hours, expenses, and resource allocation.


Environmental and Site Planning Support

  • Complete tasks related to site sections and environmental emergency plans.
  • Assist in the detailed preparation and review of area user notifications, letters, and related documentation.
  • Support government consultations and public involvement programs with increased responsibility and autonomy.


Printing and Distribution

  • Provide support for the printing, distribution, and management of ERPs with a higher degree of coordination.
  • Assist in overseeing the logistics and timely delivery of project materials to stakeholders.


Collaboration and Quality Assurance

  • Engage in collaborative tasks with ERP services and cross-functional teams to ensure project alignment and quality.
  • Assist in the creation, drafting, proofing, and quality assurance of documentation to maintain high standards of accuracy and professionalism.


General Project Support

  • Provide support for other ERP tools and technologies as needed with great involvement and technical understanding.
  • Offer comprehensive administrative assistance to ensure smooth project operations, including assisting junior staff under the direction of higher-level personnel.


What Were Looking For

  • Bachelors degree or diploma in business, emergency management, or related field.
  • Previous work experience in the oil and gas industry is an asset.
  • Progressive experience in project coordination, administration, emergency management, or hazard mitigation, with increasing responsibility based on experience.
  • Formal training or certification in Microsoft Office Suite is an asset.
  • Completion of Incident Command System (ICS) 200 is preferred.
  • Proficient in the full range of Microsoft Office Suite applications, ensuring efficient project administration.
  • Possess exceptionally strong communication skills, enabling clear and effective interactions with team
    members and stakeholders.
  • Demonstrates the ability to take initiative and work effectively in situations of ambiguity and
    uncertainty.
  • Exhibits a keen attention to detail, ensuring accuracy and precision in all aspects of work.
