DEFINITION: Under the general supervision of the Director of Career and Technical Education, the Lead Career & Technical Education District Data Specialist coordinates districtwide CTE data quality, compliance, reporting, travel, assessments, industry certifications, inventory, and related operations. The position supports site CTE Data Quality Specialists and works with District staff, Pima JTED, the Arizona Department of Education, and other partners to ensure accurate, timely, and compliant information and documentation.
ESSENTIAL FUNCTIONS:(Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, knowledges, skills and other characteristics. DISTRICTWIDE DATA AND COMPLIANCE
  • Coordinates collection, verification, reconciliation, and reporting of districtwide CTE student and program data.
  • Serves as the lead resource for site CTE Data Quality Specialists, providing guidance, training, technical assistance, and coordination regarding procedures, reporting requirements, and deadlines.
  • Develops and maintains a districtwide CTE calendar for ADE, Perkins, JTED, assessment, industry certification, CCRI, enrollment, audit, travel, and other deadlines.
  • Monitors enrollment, course sequencing, concentrator and completer status, program participation, technical skills assessments, industry credentials, work-based learning, and other performance indicators.
  • Reviews and reconciles records across District, ADE, and JTED systems; identifies discrepancies; and coordinates corrections before reporting deadlines.
  • Works with registrars, counselors, teachers, administrators, and site specialists to ensure students are properly enrolled, coded, scheduled, and reported.
  • Prepares reports, summaries, dashboards, and presentations for the Director of CTE and District leadership.
  • Assists with the Comprehensive Local Needs Assessment, Perkins applications, grant reporting, program reviews, improvement plans, and other accountability requirements.
  • Coordinates industry credential and technical skills assessment reporting and monitors CTE-related College and Career Readiness Indicator opportunities.
  • Maintains organized documentation for ADE monitoring, audits, and reported information.

DISTRICTWIDE CTE TRAVEL COORDINATION
  • Serves as the central coordinator for student and staff CTE travel requests submitted by site specialists.
  • Reviews requests for completeness, accuracy, required documentation, funding, and compliance with District and CTE procedures.
  • Coordinates requests through District approval and final closeout; maintains a tracking system for required checkpoints and deadlines.
  • Coordinates travel for CTSO conferences and competitions, leadership activities, field trips, work-based learning, industry visits, professional development, and other approved activities.
  • Resolves missing documentation and errors with site specialists before requests advance.
  • Tracks travel requiring Governing Board approval and supports timely submission.
  • Coordinates transportation, registration, lodging, purchase orders, reimbursements, additional duty documentation, and other requirements with District departments.
  • Verifies funding sources with the Director of CTE and maintains supporting records.
  • Communicates status, outstanding requirements, approvals, and deadlines to site specialists and program staff.
  • Maintains centralized records and assists with reconciliation and closeout, including receipts, invoices, reimbursements, and purchase order documentation.
  • Develops standardized travel procedures, forms, checklists, timelines, and tracking tools; provides related training and technical assistance.
  • Updates the Director of CTE regarding upcoming travel, pending approvals, documentation, funding concerns, and requests requiring attention.

ASSESSMENTS, INDUSTRY CREDENTIALS, INVENTORY, AND EQUIPMENT
  • Coordinates districtwide CTE assessments, including preparation, student identification, scheduling, documentation, administration, and reporting.
  • Coordinates collection, verification, documentation, and reporting of industry-recognized credentials.
  • Maintains assessment and credential records for accountability, CCRI reporting, program evaluation, and audits.
  • Coordinates CTE/JTED equipment inventory records and assists with receiving, tagging, documenting, transferring, tracking, and reconciling equipment.
  • Supports District, JTED, State, Federal, and grant-related audits and resolves inventory discrepancies with the Director of CTE and appropriate personnel.
  • Maintains organized documentation for high-value CTE/JTED equipment and other assets.

LEAD RESPONSIBILITIES
  • Serves as the primary districtwide resource for CTE data quality, travel, assessments, credentials, inventory, and related operations.
  • Provides guidance, training, and technical assistance to site CTE Data Quality Specialists.
  • Facilitates regular communication regarding deadlines, travel, data concerns, assessments, certifications, inventory, and District priorities.
  • Develops consistent procedures and tracking systems to improve accuracy, efficiency, communication, and accountability.
  • Coordinates resolution of discrepancies involving school sites, District departments, ADE, Pima JTED, and other partners.
  • Identifies recurring issues and recommends improvements to the Director of CTE.
  • Provides regular updates regarding enrollment, reporting, compliance, travel, assessments, credentials, inventory, deadlines, and concerns.
  • Provides functional and technical leadership but does not independently conduct formal employee evaluations unless authorized by the District.

PROGRAM AND DEPARTMENT SUPPORT
Supports the Director of CTE with data analysis, program evaluations, reports, presentations, special projects, data requests, technology improvements, databases, dashboards, and tracking systems. Works at District CTE Office and school sites as required and performs other duties as assigned.
KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS
Knowledge of CTE data reporting, District procedures, ADE, Perkins, and JTED requirements, student records, assessments, industry credentials, travel procedures, and documentation practices.
Skill in organizing and analyzing data; preparing reports and spreadsheets; using Microsoft Office and data systems; identifying and correcting discrepancies; developing tracking tools; communicating clearly; and training and coordinating others.
Ability to manage multiple priorities and deadlines, maintain confidentiality, use sound judgment, and work effectively with staff and external partners.
PHYSICAL REQUIREMENTS
Work is primarily performed in an indoor office and school environment and requires frequent sitting, standing, bending, repetitive motion, occasional lifting, and travel between District facilities and school sites.
QUALIFICATIONS
High school diploma or equivalent and two years of office experience required, or an equivalent combination of training and experience. Additional certifications may also be required as specified by the District.
