Job Summary

We are seeking a highly organized and detail-oriented Program Assistant to provide operational and administrative support for the successful implementation of school-based tutoring programs.

The Program Assistant supports day-to-day program operations, including scheduling, attendance, payroll support, compliance, documentation, data management, and communication with internal and external stakeholders. This individual works collaboratively across departments to promote efficient operations and a positive experience for schools, tutors, and students.

The ideal candidate has strong organizational and communication skills, demonstrates a high level of accuracy, and can effectively manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesProgram Operations amp; Implementation
  • Support the successful day-to-day implementation and operation of assigned tutoring programs.
  • Coordinate scheduling, attendance, staffing coverage, and other operational activities to ensure efficient program delivery.
  • Coordinate materials, resources, and logistics needed to support program implementation.
  • Assist with departmental initiatives, special projects, and other duties as assigned.
Administrative amp; Data Support
  • Maintain accurate program records, documentation, and data across multiple systems.
  • Support payroll, timekeeping, compliance, and other administrative processes.
  • Prepare reports, monitor program data, and assist with quality assurance efforts.
  • Identify opportunities to improve processes, operational efficiency, and data accuracy.
School amp; Stakeholder Support
  • Communicate professionally with schools, tutors, and internal teams to provide timely support and resolve routine issues.
  • Maintain responsive and consistent communication with internal and external stakeholders.
  • Support positive, service-oriented relationships with school partners and academic staff.
  • Represent SmartStart Education with professionalism, responsiveness, and cultural competence.
Cross-Departmental Collaboration
  • Collaborate across departments to promote operational effectiveness and a positive stakeholder experience.
  • Communicate program updates, concerns, and operational needs to the appropriate internal team members.
  • Assist with coordinating information and resources across program management, talent operations, payroll, and other departments.
