Job description

Care Program Assistant

ICF is currently seeking a Care Program Assistant to serve as part of a team of clinical and other subject matter experts supporting ACF's mission to foster health and well-being through effective, accountable, and compassionate human services. This project is part of our Prevention of Sexual Abuse project that conducts compliance audits and technical assistance for the Office of Refugee Resettlement provider community. This team's mission is to ensure clinical, behavioral health, disability-related, and psychosocial risk factors are identified and addressed, and that system-wide practices, policies, and provider operations promote safe, trauma-informed, and compliant care environments working in concert to prevent sexual abuse, sexual harassment, and other forms of child abuse and neglect. This is for a six-month duration with the opportunity for extension beyond the initial term, subject to project needs, funding, and organizational requirements. The Care Program Assistant's alignment to this mission is supporting program operations and coordination to ensure that administrative processes, data tracking, and logistical functions are executed efficiently and accurately, enabling timely, compliant, and well-coordinated service delivery that contributes to safe program environments. This position is full-time.

Roles and Responsibilities

  • Provide administrative and operational support to the program team, ensuring smooth execution of daily activities.
  • Track assignments, deliverables, and timelines to support program coordination and accountability.
  • Support data collection, entry, and organization to facilitate reporting and performance monitoring.
  • Assist in preparation of routine reports, summaries, and documentation.
  • Coordinate scheduling of meetings, trainings, and site visits.
  • Manage travel requests and logistics for program staff and SMEs.
  • Maintain program files, trackers, and documentation systems to ensure accuracy and accessibility.
  • Support communication across team members to ensure alignment and timely information sharing.
  • Assist with preparation of briefings, presentations, and other program materials.
  • Act as the human in the loop first level of review for accuracy on all AI assisted work products such as meeting minutes and data synthesis.

Basic Qualifications

  • Bachelor's degree in business administration, public administration, or related field (or equivalent experience).
  • Minimum of 2 years' experience providing administrative or program support in a federal or consulting environment preferred.
  • Strong organizational and time management skills with attention to detail.
  • Proficiency in data tracking, reporting tools, and Microsoft Office applications.
  • Comfort with AI tools like ChatGPT and Copilot.
  • Strong interpersonal, written and verbal communication skills.
  • Must be able to obtain and maintain a Public Trust Clearance.

Preferred Skills

  • Knowledge of migrant/refugee issues, particularly related to children.
  • Experience working for a refugee program.

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.
